As anAdministrative Coordinator, you'll play a key role in keeping critical operations running smoothly. You'll manage and distribute incoming mail to the appropriate teams, support pardon and parole staff with detailed docket preparation, and create, upload, and maintain essential materials such as decision forms, minute sheets, and weekly hearing agendas. You'll also be responsible for creating, updating, and modifying data within IBM Notes and Cajun, ensuring records are accurate, organized, and ready when they matter most.
At our Baton Rouge location, you'll be at the heart oflive hearings that truly matter. Our team works side-by-side with the Board of Pardons and the Committee on Parole, ensuring every document we gather and upload is accurate, timely, and impactful. Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
This role offers a dynamic mix ofindependent work and team collaboration. You'll assist with daily violation processing, offender notifications, and the creation of flash warrants, while also handling mail distribution and supporting docket preparation for parole and pardon cases. No two days are the same-this position requires flexibility and a willingness to step in where needed to support critical operations and ensure everything runs smoothly.
Receive, sort, and disseminate incoming mail to the appropriate departments or staff. Assist pardon and parole staff with docket preparation.
Create, upload, and maintain decision forms, minute sheets, and agendas for weekly hearings. Accurately create, add, and modify records in IBM Notes and Cajun systems.
Ensure records and documents are complete, organized, and properly maintained. Provide general administrative support as needed.
Strong organizational and attention-to-detail skills.
Ability to manage sensitive and confidential information.
Proficiency with Microsoft office software
Ability to work independently and collaboratively in a team environment.
Effective written and verbal communication skills.
Position-Specific Details:
Appointment Type: JOB APPOINTMENT
A job appointment is a temporary job lasting up to four years; however, should a permanent position become available, the employee may be converted to a probational appointment.
This position may also be filled as a probational appointment if a non-temporary position becomes available in the recruitment process.
If filled by probation, a permanent classified LA State employee, if selected, may be required to accept a probational appointment.
Compensation:
Note regarding the advertised pay range: The maximum amounts listed are the maximum salary amounts a person can make at each level over their career and NOTthe amount we are allowed to pay a new hire.
