Job Description

Insight Global is seeking a highly organized, proactive, and adaptable Administrative Assistant to support the CEO and COO of a client in East Brunswick, NJ. This role requires someone who thrives in a fast-paced environment, can shift priorities quickly, and is comfortable supporting executives who travel frequently. The ideal candidate brings strong communication skills, exceptional attention to detail, and the ability to keep operations running smoothly across multiple office sites.

Key Responsibilities:

Executive Support:

Manage complex calendars for the CEO and COO, including scheduling meetings across multiple offices/sites

Prepare and organize executive meeting materials; assist with creating PowerPoint presentations

Handle domestic and occasional international travel arrangements

Upload documents and agreements into DocuSign as needed

Administrative & Operational Support:

Complete and process multiple expense reports preferably using NetSuite

Order office and operational supplies for multiple sites; ensure inventory remains stocked

Serve as the primary onsite point of contact-greeting vendors, managing deliveries, and addressing day-to-day office needs

Support general office management tasks as needed

Tools & Systems:

Required: Microsoft Office Suite (Excel, PowerPoint, Outlook, Word)

Preferred:

? NetSuite

? ADP experience

? DocuSign for routing documents and approvals

Compensation:

$60,000 to $70,000 per year annual salary.

Exact compensation may vary based on several factors, including skills, experience, and education.

Skills and Requirements

7+ years of experience working as an Administrative Assistant

Highly flexible and able to shift priorities quickly without hesitation

Strong communication skills and the ability to interface professionally with executives and internal teams

A self-starter with a hands-on approach to office operations

Ability to manage confidential information with discretion

Strong organizational skills and attention to detail
