The Operations Manager oversees business operations for assigned departments, offices, divisions, or agencies, which include hiring employees, negotiating contracts, addressing budget matters, understanding general business operations, and guiding work teams.

Required Education and Experience
Bachelor's degree or equivalent combination of education and experience.
Five years of related experience.
Preferred Qualifications
Experience in higher education.
Responsibilities
Operational Support
Oversees operations related to assigned faculty members, centers, and offices. Coordinates maintenance, organization, and improvements to assigned departmental functions.
Assists the Associate Director with managing facility space requirements, including the annual space report and assigning/managing space for external units.
Serves as main point of contact for real estate processes and infrastructure projects in conjunction with the Associate Director and HSC.
Maintains documents and policies for emergency preparedness and serves as liaison to HSC College Station.
Serves as main point of contact for Risk Management operations.
Assists the Associate Director and Marketing Manager with digital content management.
Analyzes requirements for projects or initiatives. Provides support for long-range planning.
Manages documentation related to protocols and standard operating procedures.
Provides operational input for long-term planning and strategic decision-making.
Facilities and Events
Acts as main liaison to external parties for assigned faculty members, departments, and offices, as it relates to operations, including on-site facilities personnel.
Plans and coordinates logistical and administrative support for large-scale IBT events, meetings or other special functions and provides on-site support. May take minutes at meetings. Coordinates special events to include the IBT Seminar Series.
Participates as member of several IBT and TAMU committees relating to facilities and operations.
Formulates, interprets, and assists with implementing management policies or operating practices.
May attend meetings or committees on behalf of the Associate Director.
Fiscal Support
Maintains financial and budget records for operations, coordinating with Accounting and Budget groups.
Develops and oversees progress against high-level work plans, schedules, and budgets for large projects and contracts.
Oversees the procurement process for facilities projects; reconcile billing.
Negotiates contracts with vendors to secure favorable terms and pricing.
Ensures that all financial transactions adhere to institutional and regulatory guidelines.
Communicates regularly with Associate Director to address financial concerns and provide updates.
Generates regular financial reports to provide insights into spending patterns, budget variances, and financial health.
Assists with record retention management.
Training/Supervision
Develops and updates training materials for administrative processes and operational duties and delivers related training to administrators and faculty.
Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies, and procedures having to do with operations.
Provides supervision and oversight to assigned staff members and liaises with Human Resources to respond to employee queries.
