The opportunity
The Marketing Administrative Coordinator plays a pivotal role in delivering comprehensive administrative support to the marketing franchise, with a primary focus on assisting Senior Director-level leaders and above. Core responsibilities include expertly managing calendars, coordinating meetings, booking travel, and preparing expense reports to ensure seamless daily operations. The Coordinator also handles a variety of essential administrative tasks, such as organizing team events, supporting field advisory board meetings, and preparing materials for key gatherings.
In addition to these core administrative duties, the Coordinator provides secondary support for marketing projects. This includes assisting with print management, inventory allocations, and launch activities, as well as collaborating with the Purchase Order Coordinator on vendor setup, third-party statements of work, and purchase order processing. While project coordination is an important aspect of the role, the primary emphasis remains on delivering high-quality administrative support to the marketing leadership team.
Success in this position requires adaptability in a fast-paced, ever-changing environment, strong multitasking and prioritization skills, and the ability to work independently from project initiation to completion, all while maintaining professionalism under pressure.
Location: This is a hybrid role (3 days/week onsite) based in our Parsippany, NJ headquarters.
How you'll spend your day

Administrative Responsibilities (Primary)
Administrative support including responsibility for preparing expense reports and supporting travel bookings for Senior Directors and above as required.
Planning and calendar management including coordination of complex meetings and events such as booking meeting rooms, setting up logistics (registering guests, meeting materials, A/V, on-screen presentations, hard copy items, and catering if needed).
Work with Facilities Management, IT, and Human Resources to organize new hire set-up: ordering equipment, securing workspace, and communicating with managers to ensure a smooth start for all new hires.
Project-Related Responsibilities (Secondary)
Assist in managing and executing ad hoc projects, ensuring tasks are prioritized and completed on time. Track and prioritize project(s) in an evolving environment, with attention to detail, accuracy, and timeliness.
Keep key stakeholders informed throughout projects by providing regular updates on project status, identifying potential issues or obstacles, and working proactively to resolve them.
Maintain comprehensive project documentation, including project plans, status reports, and post-project evaluations.
Support Purchase Order Coordinator in the development of Statements of Work (SOWs) and purchase order creation.
Facilitate communication within project teams and across departments to ensure alignment and collaboration.
Your experience and qualifications
Any equivalent combination of education, training and/or experience that fulfills the requirements of the position will be considered.
Education/Certification/Experience:
High School degree required Bachelor's degree preferred.
Experience required: Minimum of 1 years experience in a fast paced, business environment
Project management experience required.
Budget support experience preferred.
Previous Administrative experience supporting Senior Leadership, or Marketing Leadership preferred.
A minimum of 1 year experience in a pharmaceutical environment desirable.
Experience with SharePoint, Microsoft Suite of software preferred, SAP and ADP familiarity a plus
Skills/Knowledge/Abilities:
Proficient skill level in MS Office including proficiency in Word, PowerPoint, OneNote, Excel, and Outlook
Strong proficiency in SAP system and Concur expense system.
Excellent verbal, written, organizational and interpersonal skills required to reflect ability to perform and prioritize multiple tasks seamlessly with tremendous attention to detail
Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment
Highly resourceful team-player, with strong problem-solving skills and the ability to also be extremely effective independently
Experience with meeting coordination and planning preferred.
TRAVEL REQUIREMENTS
Approximately 5-10% throughout the US.
PHYSICAL REQUIREMENTS:
Occasional:
Sitting for extended periods of time at workstation or mobile equipment.
Visual Acuity:
Perform activities such as computer work, preparing and analyzing data, and extensive reading.
WORKING ENVIRONMENT
May be required to wear personal protective equipment (PPE) as needed on site visits (i.e. safety glasses, hearing protection, gloves, etc.).
Compensation Data
The annual starting salary for this position is between $73,760 - $96,810 annually. Factors which may affect starting salary within this range and level of role may include geography/market, skills, education, experience and other qualifications of the successful candidate.
