Description

We are looking for a highly skilled and experienced Senior Executive Assistant to support the President and key leadership at a non-profit organization located near Rosemont, IL. This role requires exceptional organizational abilities, attention to detail, and discretion in handling sensitive information. The successful candidate will play a pivotal role in coordinating executive activities, facilitating communication, and ensuring operational efficiency.

Responsibilities:

Organize and prepare for high-level meetings and events, ensuring all logistical details are managed effectively.

Collaborate with internal teams and external stakeholders to refine presentations, speeches, and strategic documents.

Maintain and prioritize a detailed review queue, ensuring important documents are easily accessible and action items are addressed promptly.

Strategically manage calendar schedules and prepare weekly memos to optimize executive time allocation.

Coordinate international and domestic travel arrangements, including flights, accommodations, and ground transportation.

Partner with peers in the executive support team to align and coordinate efforts as needed.

Handle confidential information and correspondence with utmost discretion and professionalism.

Assist in managing special projects and initiatives to support organizational goals.

Provide administrative support for board reporting and presentations, ensuring accuracy and thoroughness.

Perform additional duties as assigned to enhance overall executive effectiveness.

Requirements - Advanced proficiency in Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook.

Proven ability to anticipate needs and proactively address challenges in a dynamic environment.

Strong adaptability to shifting priorities and urgent deadlines.

Meticulous attention to detail in documentation, scheduling, and communication.

Excellent judgment and decision-making skills, with the ability to discern when to escalate issues versus act independently.

Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.

Expertise in managing executive calendars and coordinating travel arrangements.
