Job Title: Executive AssistantJob Description

We are seeking a highly organized and proactive Executive Assistant to support executive operations. This role involves managing calendars, coordinating travel, preparing documents, and serving as a key point of contact for the executive office. You will play a vital role in organizing meetings, supporting events, and managing administrative tasks to ensure smooth operations.

Responsibilities

Manage the executive's calendar, schedule meetings, and coordinate travel arrangements.

Prepare and edit correspondence, reports, presentations, and other documents.

Serve as the primary point of contact for the executive office, handling inquiries with professionalism and confidentiality.

Organize and support meetings, events, and special projects, including agenda preparation, logistics, and follow-up.

Maintain records, files, and databases related to academic and administrative operations.

Assist with budget tracking, expense reporting, and procurement processes.

Coordinate communications between the executive office and other departments.

Support faculty recruitment, onboarding, and promotion processes.

Ensure compliance with university policies and procedures.

Perform other duties as assigned to support the executive and the mission of the school.

Essential Skills

5+ years of Executive Administrative Assistance

Proficiency in Microsoft Office, including Outlook and PowerPoint

Experience in calendar and travel management

Additional Skills & Qualifications

3-5 years of Executive Administrative Experience

Bachelor's Degree

Experience in Concur preferred

Work Environment

This position offers a hybrid work environment requiring in-office presence 3 days a week. Initially, you will report to the Mt Washington office until January and then transition to the new Homewood location on Charles Street. There is potential for conversion to a permanent role. Team members are primarily remote, and efforts are being made to get parking expenses covered.

This is a Contract position based out of Baltimore, MD.

Pay and Benefits

The pay range for this position is $35.00 - $40.00/hr.
