In-Person - Not Remote General Position Summary: The Career and
Technical Administrative Assistant will provide support for Career and
Technical Programming through the offerings of Extension, Continuing and
Customized Education and Integrated Training, and Faculty Department.
The CTE Administrative Assistant will assist with faculty and adjunct
course scheduling, youth events and workshops, marketing of workshops,
courses, and events to be held in the Extension, Customized and
Continuing Education and Integrated Training with continuing education
units (CEU), academic credit and community education. Assistant will
provide effective customer service through answering phones, emails, and
registering participants for workshops (virtual/ and or in person)
promote activities with social media, complete purchase orders,
requisitions, request forms for supplies, facilities, and vehicles. This
is a grant funded position and will continue as grant funds allow. Key
Responsibilities: Complete forms for necessary activities (HR, food
service, facilities, etc.) Collaborate with team on the goals of the
workshop, maintain focus on marketing, attendance, and ensure the event
will meet the plan for completion If the event is funded with a grant,
help the team to ensure the goals have been met, and the materials are
easily accessed for the reporting on the event or workshop paid for with
a grant Enter account payable information into the Colleague requisition
system Order supplies as needed Create check in and out forms Ensure
materials are returned and put back in storage Create registration
forms, sign-in sheets, agendas, and ensure the budget for the event is
maintained Create flyers and assist with marketing of classes (to
include social media platforms) Register participants and/or students
via online or in person and ensure completeness of forms Assist
instructors with appropriate guidance to complete the proper forms and
submit to appropriate departments (course attendance, evaluations)
Ensure marketing, registration, sign in sheets, and data is completed
for reports and summaries prepared for internal and external grant
reporting Manage financial tracking and reporting for various project
evaluations and effectiveness Develop project plans to track the
progress Develop and Compile workshop evaluations Answer phones and
direct calls, return emails Create and mail certificates Data management
(document workshops, credits, etc.) Other duties as assigned
Reportability: Position reports to the Associate Dean of Career &
Technical Education ** OTHER EXPERIENCE AND QUALIFICATIONS:
Minimum Qualifications: Associate degree in related field Three (3)
years working in an office setting and or educational institute This
position requires a valid driver\'s license and good driving record
