Job Summary
The Division of Finance and Administration is seeking an Administrative Director. This is a full-time (1.00 FTE ), 12-month, professional faculty position.
The Administrative Director for the Division of Finance and Administration ( DFA ) serves as a strategic and operational leader, ensuring the efficient functioning of the division's administrative operations. Reporting directly to the Vice President for Finance and Administration/Chief Financial Officer ( VPFA / CFO ), this position oversees the division's administrative support structure, including the coordination and supervision of executive and administrative assistants across DFA units. The Administrative Director provides centralized leadership for division-wide organizational logistics, facilitates effective workflows, ensures consistent and professional administrative practices, and supports the VPFA / CFO in achieving the division's mission and goals.
This role requires a combination of strategic planning, operational management, and strong interpersonal skills to foster a culture of service, collaboration, and excellence in support of the division's leadership and operations.

Key Responsibilities
Administrative Leadership and Oversight (40%)
Lead, supervise, and coordinate the work of executive assistants and administrative staff within the division, ensuring effective administrative operations and service delivery.
Establish and maintain administrative processes, tools, and standards that promote consistency, efficiency, and professionalism across DFA .
Provide training, mentoring, and performance evaluation for administrative staff.
Serve as the primary point of contact for internal administrative coordination across DFA's units.
Executive Office Operations (30%)
Oversee day-to-day operations of the VPFA /CFO's office, including calendar prioritization, meeting preparation, correspondence, and executive-level communications.
Coordinate and manage high-priority, sensitive, and confidential projects for the VPFA / CFO .
Ensure smooth and professional logistical support for executive meetings, retreats, and events.
Support the VPFA / CFO in managing and tracking commitments, deadlines, and strategic initiatives.
Organizational Logistics and Coordination (20%)
Plan, coordinate, and manage division-wide logistics, including retreats, forums, professional development sessions, and other large-scale gatherings.
Oversee systems for travel coordination, procurement, and space/facility logistics for DFA leadership teams.
Ensure administrative systems and processes support DFA's operational and strategic priorities.
Strategic Administrative Support (10%)
Collaborate with DFA leadership on continuous improvement of administrative workflows and organizational effectiveness.
Develop and implement administrative policies, procedures, and guidelines in alignment with OSU policies and DFA's strategic plan.
· Serve on cross-divisional committees and working groups, representing the administrative interests of DFA .
What You Will Need
Bachelor's degree in business administration, public administration, management, or related field,
Five years of progressively responsible administrative or operational management experience, including supervision of staff.
Experience providing high level administrative support of a director-level position or equivalent.
Demonstrated ability to manage complex calendars, logistics, and projects in a high-volume, fast-paced executive environment.
Ability to handle highly sensitive and confidential information with discretion.
Strong interpersonal skills and ability to work effectively with diverse individuals and groups.
Excellent written and verbal communication skills.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
Master's degree in business administration, public administration, or related field.
Experience in higher education, large public organizations, or similarly complex institutions.
Experience in developing and standardizing administrative processes across multiple units.
Working Conditions / Work Schedule
Standard office environment on OSU's Corvallis campus with occasional remote work flexibility.
Occasional evening or weekend hours to support special events or urgent priorities.

Recommended Full-Time Salary Range $110,000 - $130,000
