The Minnesota Department of Natural Resources is seeking an Executive Assistant to provide advanced-level administrative support functions to the Minnesota Department of Natural Resources (DNR) Commissioner's Office. The Minnesota DNR is committed to working with all Minnesotans to conserve and manage the state's natural resources, to provide outdoor recreation opportunities, and to provide for commercial uses of natural resources in a way that creates a sustainable quality of life.
The Executive Assistant is part of a multi-person administrative support team that provides seamless coverage and support for all members of the Commissioner's Office. The successful candidate for this position will work collaboratively and independently, under limited supervision, to support the Commissioner's Office executives and other personnel in the execution of their responsibilities. The duties of this position include:
Maintaining and monitoring daily calendars/schedules for the commissioner and deputy commissioner, including prioritizing meeting requests and resolving scheduling conflicts.
Tracking review and signature items and their due dates to help ensure timely completion and ensuring timely information flow among members of the Commissioner's Office and between the Commissioner's Office and others within DNR.
Monitoring the commissioner's general email box and voicemail account, including triaging messages and processing daily mail.
Making travel arrangements and completing expense reports.
Helping to plan meetings/special events.
Formatting and proofreading correspondence.
Contributing to the overall function of the Commissioner's Office through general administrative tasks.
This position also represents the Office of the Commissioner in communications and interaction with internal staff and external stakeholders. The successful candidate for this position must be highly motivated, function both independently and as an integral member of a team, produce accurate work products, anticipate and address issues proactively, and exercise prudent judgment in handling demanding, competing, and shifting priorities.
This position is primarily office-based. The employee may be eligible to telework on a limited basis, which is subject to change based on the needs of the office. If approved for telework, the employee would be required to complete a telework agreement.
Minimum Qualifications
Customer service skills sufficient to provide prompt, courteous, and accurate information to internal and external stakeholders via email, in person, or over the phone.
Advanced interpersonal/human relations skills sufficient to interact effectively with all levels of management and staff and maintain the highest level of confidentiality.
Ability to manage complex/busy schedules and calendars, including prioritizing requests and resolving scheduling conflicts that may arise on short notice.
Organizational skills and the ability to track information, including official documents for review and signature, and manage multiple projects of varying size and complexity.
Demonstrated ability to work independently and as part of a team.
Skills in MS Office and Adobe products sufficient to produce high-quality documents and correspondence, manage workflow, and operate in both virtual and in-person work settings.
In addition to the qualifications listed above, applicants must also meet the following criteria in order to qualify for the Exec 2 classification:
Experience as an executive assistant or office manager that includes interacting with executives and senior managers and their assistants.
Ability to review materials to ensure they are ready for review by Commissioner's Office executives and other personnel and proactively take steps to have any deficiencies addressed for materials that are found to be lacking or incomplete.
Preferred Qualifications
Experience working with or supporting executive-level leadership.
Experience with accounts payable activities and fiscal control procedures.
Experience in a public sector setting, including working with or supporting elected or appointed officials
