Data Quality Registration Clerk (STX-DOH)

This is a standard non-supervisory position at the entry level that ensures a patient's initial chart is complete. A Data Quality Registration Clerk is usually a patient's first point of contact at a clinic, medical office or hospital. This employee handles the duties of both a receptionist and data collector, signing in people and dealing with their personal information. A Data Quality Registration Clerk particularly needs the skills to collect and organize information to keep the flow of patients running smoothly. The person in this position may also continue to input and update immunization histories of children ranging from birth to 18 years of age and other age groups utilizing electronic web-based registry software called the: Virgin Islands Immunization Registry System (VIIRS), spreadsheets, or any other data entry software that are being used by the Immunization Program. An employee in this position ensures that data is accurately documented and entered into the VIIR and verifies his/her work. The employee in this position will be responsible for, but not limited to, the listed program responsibilities within the Immunization Clinic.

Duties and Responsibilities:

DUTIES (NOT ALL INCLUSIVE):

Performs with front-end clinic registration activities, by collecting updated demographic and immunization data from clients seen on a daily basis during immunization clinic hours.

Ensures all clients seen on a daily basis are inputted into the clinic/program data software(s). Ensures proper documentation is obtained from client for registration.

Calls and verifies next day appointments and screen clients to obtain pre-registration information.

Organizes data collected for processing and store in accessible and clearly labeled work files. Analyzes client's immunization records.

Provides support and assists Head Nurse and Staff Nurse with chart completion. Exhibits strong efforts to meet the goals of inputting data in real-time performance. Helps with the electronic processing of immunization record requests when needed.

Enters data into the electronic database software to ensure that data integrity is maintained.

Communicates problems or challenges with data software immediately to Head Nurse and Registry supervisor.

Provides customer service for the clinic in answering incoming calls and greeting/assisting walk in customers, when needed.

Coordinates with nurses in assessing immunization cards to ensure daily up-to-date vaccinations have been recorded.

Enters, updates and verifies all required data for the patient parent(s)/guardian, third-party payers and all other required data fields as specified by the Head Nurse and designated Registry Coordinator.

Verifies insurance coverage by phone or on-site, and enters the information into the electronic database software

Gathers appropriate signatures for all required forms.

Prepares, updates and issue blue clearance forms, transfer cards, new immunization cards, fax

documents locally and off-island, update clients master cards, college forms, etc.

Prepares Medicare and Medicaid documentation to be submitted for payment.

Maintains patient confidence and protects clinic operations by keeping information confidential; following release-of-information policies and protocols.

Assists the Staff Nurse(s) completing the CDC Immunization School Assessment Survey by researching, preparing, and submitting children's immunization record information of participate ng schools in the select sample, and perform other related responsibilities to facilitate the completion of the survey.

Participates in teleconferences, outreach activities, immunization campaigns, etc. (on-island as well as off-island) as directed by the Head Nurse, designated Registry Coordinator, Territorial Director and the Administrator.

Assists in educating healthcare providers and other immunization partnersconcerning immunization information, whenever necessary, at outreaches, initiatives, projects and other related activities.

Assists with presentations at workshops, conferences, schools, and other venues regarding immunization registry and other immunization topics.

Performs duties, as assigned, during emergency situations or other non-program related duties such as an Emergency Support ESF) 8 employee.

Cross trains in the responsibilities of other related programmatic functions/responsibilities as assigned by the immediate supervisor or as needed.

Performs all other related work as required.
