PURPOSE:The Administrative Assistant-IEP Coordinator is responsible for providing administrative and IEP Coordination support to the Little City Center for Education.
ESSENTIAL DUTIES AND RESPONSIBILITIES:The list of essential duties and responsibilities, as outlined herein, is intended to be representative of the task to be performed. The omission of an essential function does not preclude management from assigning duties not listed herein is such duties are a logical assignment to the position.Administrative Assistant Essential Duties and Responsibilities:1. Maintain multiple data bases for the school, including student data entry into the state board of education website.2. In collaboration with Principal, Assistant Principal and Clinical Director, post the daily teacher and paraprofessional classroom assignments as well as on daily items on Microsoft Teams All School channel. 3. In collaboration with Principal, Assistant Principal and Clinical Director, make phone and email contact with home school districts and parents/legal guardians to create and maintain appointments for necessary school functions and meetings, including Individual Education Plan (IEP) meetings.4. In collaboration with Principal, Assistant Principal and Clinical Director, print and assemble materials for distribution at school staff meetings.5. Maintain all filing at the Little City Center for Education.6. Monitor office supplies and order supplies for the school.7. Maintain the school electronic calendar and paper copies.8. Monitor and maintain student attendance daily.
Maintain the school program card log and load the card as appropriate.10. Communicate with other agency departments, partner school districts, ISBE, and parents as appropriate. IEP Coordinator Essential Duties and Responsibilities:11. Serve as a liaison between families, school staff, and community agencies.12. Maintain accurate and timely records related to special education services.13. Oversee IEP Development and Implementation including the facilitation and participation in IEP meetings, including annual reviews and re-evaluations.14. Ensure IEPs are legally compliant with federal and state regulations, including IDEA and Section 504.15. Coordinate with teachers to provide accommodations and modifications.16. Coordinate related services like speech-language therapy, occupational therapy, physical therapy, and social work as appropriate.17. Consult with referring school districts regarding IEP clarification and compliance. When appropriate, contacts school districts for missing information required for IEP and/or re-evaluation documentation.18. Periodically reviews and maintains student files including IEPs to assure proper filing of all data.19. Prepares progress reports by required due dates and receives verification from Principal and/or Assistant Principal20. Successfully complete Little City required training, re-training, and any additional training as required by Little City policies and practices, or as assigned by immediate supervisor.21. Any other duties as assigned by supervisor.

Qualifications
MINIMUM QUALIFICATIONS:Bachelor's degree with special education license (LBS) required. Experience with computers and Microsoft Office Suite required. Previous office experience in data entry preferred.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:While performing the duties of this job, the employee is subject to sitting for prolonged periods; frequently walks, stands, grasps, lifts, holds, or feels objects; occasionally stoops, kneels, crouches, or crawls. Extended use of computer and typing is required. The employee frequently is required to use manual and finger dexterity and eye-hand coordination when working and handling office equipment. The employee is subject to assist and support up to 25 pounds with varying amounts of assistance on a reoccurring basis. The employee is required to have corrected vision and hearing within normal range and the ability to operate office equipment. No occupational exposure to blood, body fluids, communicable diseases, or other potentially infectious substances (Category I). Typical office environment.
