The Admissions Program Coordinator (Communications) will play a vital role in the recruitment and enrollment of students at the University of Michigan School of Music, Theatre & Dance. The STMD Office of Admission strategically guides SMTD efforts in recruiting, admitting, and enrolling an artistically and academically talented, geographic, socioeconomic, and holistically diverse undergraduate and graduate class currently representing thirty one states and eleven countries. The Admissions Program Coordinator (Communications) will be responsible for managing communications for the SMTD Office of Admissions and providing critical administrative and office support.
This position reports directly to the Assistant Director of Admissions. As a key member within the Enrollment Management team, the Admissions Program Coordinator (Communications) will work closely with offices including but not limited to the Office of Undergraduate Admissions, the Office of Financial Aid, Rackham Graduate School, and SMTD Advancement and Marketing to advise on design and implementation of successful marketing and recruitment efforts while maintaining data integrity. The ideal candidate will have a deep commitment to student success, a dedication to working with applicants from diverse backgrounds, and the adeptness to navigate technologies used to support student recruitment and enrollment all while working in a fast paced environment.
Responsibilities*
Student Recruitment and Communication (60%)
Focus on sophisticated communications in support of SMTD student recruitment and orientation.
Sustain a professional, public-facing office environment for staff, faculty, students, and prospective student visitors. Ensure the SMTD Admissions front desk is covered to welcome walk-in visitors; ensure prompt phone, email, and in-person coverage during standard 8:30am-5pm office hours.
Communicate and present with prospective students and their families in person or virtually to answer questions on academic programs, auditions, school applications, and campus life.
Consult on public presentations and materials designed to promote the Institution.
Process incoming mail through documented procedures and inquiries to the general email inbox and phone line and administer a weekly student newsletter.
Lead and manage external communications and marketing materials development, including the annual Viewbook, in collaboration with SMTD Marketing & Communications.
In partnership with the SMTD Marketing & Communications team, monitor admissions advertising opportunities and give advertisement content feedback. Update advertising copy with admissions information yearly or as needed.
Lead and manage the Michigan Performing Arts College Fair, coordinate with Ast. Dean the annual Faculty Showcase Concerts (2) during audition season, and coordinate both the
Undergraduate and Graduate Welcome Celebrations.
Contribute to the optimization of our use of Slate application platform, particularly in relation to communication with applicants and prospects. Develop required expertise in the Query and Deliver portions of Slate, plus any additional components of Slate as recommended.
Hire, train, support, and co-supervise an annual team of work-study students within available budget.
Enrollment Management and Admissions Business Processes (40%)
Design, write, and prepare proposals, presentations, and reports on behalf of admissions leadership for review and circulation. Deliver timely admissions statistics; circulate results and analysis.
Create and manage the annual faculty census (templates and a shared repository for results) in collaboration with executive and admissions counselors; prepare reports and working documents.
Execute process to upload to Slate and MPathways incoming application materials (e.g. transcripts and recommendation letters) delivered outside of the Slate application platform.
Serve as primary liaison for website development of Admissions information, in collaboration with the SMTD Admissions team and SMTD Marketing & Communications.
Create and maintain procedure documentation for application business processes; communicate and/or provide training for regular and seasonal staff to implement new and/or updated processes.
Support other admissions projects as assigned.
Required Qualifications*
Bachelor's degree from an accredited college or university.

Ability to communicate clearly and professionally, both verbally and in writing, with individuals at all levels, including staff, prospective students, and families.
Demonstrate tact, diplomacy, and discretion, while maintaining confidentiality and professionalism in all interactions.
Proficiency in web-based technologies and command of workplace technology tools. Strong working knowledge of Microsoft Office (Word, Excel, PowerPoint) and Google Suite (Gmail, Google Drive, Google Docs/Sheets). Familiarity with video conferencing platforms such as Zoom and Google Meet.
This position routinely moves promotional materials weighing up to 50 lbs to various locations across campus. In-state local travel required for the annual Michigan Performing Arts College Fair (MIPACF).
Desired Qualifications*
Collegiate study, experience in, and/or understanding of music, theatre, and/or dance.
Marketing and/or website development training and/or experience.
Experience using a customer relationship management system (CRM); ability to learn new software and technology. Working familiarity with Slate and/or the M-Pathways Student Administration system is a plus.
An understanding and appreciation of higher education and the diverse cultures of the schools and colleges within the University.
Modes of Work
This position is eligible to work a hybrid work model. Schedule to be determined by the Assistant Director of Admissions. Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work agreements are reviewed annually at a minimum and are subject to change at any time, and for any reason, throughout the course of employment.
