We are looking for a friendly, detail-orientated, and computer-savvy individual to provide support to the Upper School Office and report to the Director and the Assistant Director of the Upper School.
Responsibilities:
Providing day-to-day administrative and scheduling support to the Director and the Assistant Director of the Upper School
Monitoring daily attendance of students through online management system
Fielding parent phone calls for student absences
Following up on unexcused student absences and reporting to division management
Monitoring morning calls and/or emails from teachers who will be out for the day and securing substitute teachers as needed
Writing and electronically distributing weekly updates to faculty and staff
Supporting the Crisis Action Team
Handling catering orders and logistics for faculty and staff events
Working with the Facilities team to book various venues on campus and support faculty onboarding by securing offices, obtaining keys, ordering signage, etc.
Scheduling candidate interviews and candidate travel and lodging as needed
Scheduling class visits and meetings for teachers undoing formal reviews
Supporting students in completing work permit requirements for minors
Developing the Faculty and Student Planners
Assisting with departmental expense reports
Filing quarterly report cards and moving cumulative files at the end of the year
Attending weekly academic office meetings
Performing other duties as assigned
Requirements:
High school diploma or equivalent
1-2 years of experience in an administrative support role plus familiarity with project management and event planning are desired.
Friendly and personable with strong customer service skills - proven ability to work well with many different @types of people in a dynamic school environment
Exceptional organizational skills and the ability to manage multiple tasks simultaneously and prioritize assignments while meeting sometimes tight deadlines
Strong computer skills including expertise with Google Docs, website content management systems, web email programs like Mailchimp, and online calendaring and event reservation platforms.
Keen attention to detail and very organized with excellent time management skills
Ability to accurately manage and enter calendar data into sophisticated online web application
Ability to effectively communicate both orally and in writing
Must work well with minimal supervision and show initiative and good judgment under sometimes busy and stressful situations.
Must be skilled and confident with complex content management system, data entry, customization, and data sharing with calendar platforms

Pay range:
In the spirit of pay transparency we share the base salary range for this position for the 2025-2026 academic year. The full pay range, which encompasses all experience levels is $75,000 - $100,000. Within this broad range, we pay in accordance with what could be reasonably expected based on an individual's experience level. Base salary is exclusive of fringe benefits, retirement plan employer contributions or potential stipends (for eligible employees). Pay ranges at Menlo are reasonable estimates of what the School anticipates paying for a role but are not guaranteed. If hired at Menlo School, your final base salary will be determined by factors such as skills, education, experience, job level, part-time status and number of months of work per academic year. In addition to those factors, we believe in the importance of pay equity and consider internal equity with our current employees as a part of any final offer. Please keep in mind that the generous range mentioned above is the full base salary range for the role. Hiring at the maximum of the range is not typical for Menlo School in order to allow for future and continued salary growth.
