Work Environment

This position offers a hybrid work environment with three days per week in the office and typically Mondays and Fridays working from home. Working hours are from 8am to 5pm CST. Qualifications

High School diploma or equivalent; Associate degree or professional certification preferred.

8 years of experience supporting leadership staff as a Senior Administrative professional.

Excellent oral and written communication skills to effectively communicate with high levels of the organization.

Ability to work independently and identify proactive solutions to complex situations.

Manage multiple tasks with high attention to detail and a high degree of accuracy and timeliness.

Advanced Microsoft Office skills.

Job Description

We are seeking a highly motivated Senior Administrative Assistant to provide exceptional executive support to the VP of Research and Development and VP of Marketing. This role is pivotal in ensuring seamless office management and efficient workflow within our organization.

Responsibilities

Provide executive support to two VPs of different departments.

Oversee daily office operations, ensuring efficient workflows and adherence to organizational policies.

Manage and supervise administrative staff within Marketing and R&D teams, providing guidance, training, and performance evaluations.

Organize and coordinate meetings, events, and travel arrangements for senior management in collaboration with HST Leadership administration.

Handle sensitive correspondence and communications, ensuring confidentiality and professionalism.

Assist in budgeting and expense tracking for administrative functions, ensuring compliance with financial policies.

Monitor and report on administrative activities and project progress, providing updates to senior management.

Maintain and manage office supplies and equipment, ensuring availability and functionality.

Ensure compliance with organizational policies, regulations, and best practices.

Participate in special projects and other duties as assigned.

Pay and Benefits

The pay range for this position is $20.00 - $25.00/hr.
