About you and this role
Dowhas an exciting opportunity for aLegal Administrative Assistantlocated inLake Jackson, TX! In this role, you will provide general administrative support to theUS Operations and Regulatory Legal teamincluding two attorneys and one paralegal. The role requires the exercise of considerable discretion and independent judgement in managing flow of work, including support for litigation and workers compensation claims, contract negotiations and drafting, real estate transactions, and environmental regulatory matters. Requires full proficiency gained through job-related training and on-the-job experience to perform a range of tasks under limited supervision.
Responsibilities
Provide a wide variety of professional administrative support under limited direction to leaders, colleagues or groups in the organization.
Responsible for scheduling meetings, booking conference rooms, ordering food/drink, and managing visitor processes. May attend meetings to assist with presenting materials or taking notes.
Ensure communications flow properly utilizing knowledge of business / function's organization structure and overall Dow processes.
Take ownership in your work.
Manage legal database for legal matters including running reports, opening and closing matters, identifying internal cost centers for recharge, and supporting legal e-billing, invoicing, and settlement processing.
Good team player and a fixer. Help troubleshoot issues and serve as a point person for questions or guidance. May act as department focal point with external vendors, law firms, service providers, etc.
Arrange domestic and international business travel and prepare travel itinerary. Book flights, cars, make hotel and restaurant reservations.
Schedule meetings, receive meeting notices and proactively manage conflicting meetings.
Seek continuous improvement within work processes and systems.
Maintain document management systems including SharePoint, Teams and legal information management systems. Act as the technical office equipment focal point to enable daily effectiveness.
Complete expense reports for self and others and submit on behalf of leader and/or team. Monitor and track expenses against budgets; resolve discrepancies and provide reports to cost center owner or budget manager.
May act as a workgroup safety warden and communicate safety messages to workgroup.
Participate as an active team member on entire projects and can complete projects independently.
Build appropriate rapport and effective relationships within Dow.
Understand and respond to others' concerns. Able to compile diverse opinions to help resolve issues. Target written and verbal communications to difference audiences clearly and concisely.
Alert others who are affected by his/her work when or before problems arise. Serve as a helpful and positive presence in the workplace.
Independently understand and contribute to the goals of the team and their role within the team. Viewed as key contact in department. Teach and coach others how to use standard office equipment and software systems. Maintain documents and records in accordance with company guidelines.
Utilize information integrity principles to properly classify, store and protect confidential technical information. Identify customer/client/co-worker needs and respond to semi-routine requests.
Lifting of document boxes (10-15 lbs) is routinely required.
Required Qualifications
A minimum of a high school diploma or GED or equivalent.
A minimum of 3 years of relevant working experience.
A minimum requirement for this U.S. based position is the ability to work legally in the United States. No visa sponsorship/support is available for this position, including for any @type of U.S. permanent residency (green card) process.
Preferred Qualifications
An associate's degree or higher education.
5+ years of office/administrative experience.
Prior legal experience.
Experience with major office systems including Outlook, Microsoft Word, PowerPoint, and Excel.
