LSU Shreveport is currently seeking qualified applicants for the position ofAdministrative Assistant 2in theChemistry & Physics Department. This role provides clerical and administrative support to faculty and staff, helping ensure the smooth operation of the department. We are looking for a dependable, detail-oriented individual with strong organizational and communication skills who thrives in a collaborative academic environment.

Minimum Qualifications
One year of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will substitute for six months of the required experience.

Job Duties and Other Information
Daily Duties:70%
Purchasing and Receiving: Prepares requisitions for the purchase of supplies for faculty who are supported on departmental, university, and grant-funded budgets. follows up on orders throughout the purchasing cycle. Officially receives packages and notifies appropriate faculty members of its arrival. Submits travel and small purchase reimbursements for faculty members, including justification documents and receipts. Tracks the processing of reimbursements through the Workday system or through the Foundation.
Communication: Serves as a contact for the department between other departments, faculty, staff, students, and visitors and serves as a friendly, courteous receptionist in the office. Answers telephone calls and departmental emails quickly, and in a friendly and courteous manner. Transfers callers and forwards emails to the appropriate person as needed. Responds to voicemail messages quickly.
Payroll: Types contracts and offer letters for adjuncts, teaching assistants and research assistants and ensures that all necessary documents are ready at the start of each semester. Alerts Chair to approve payroll when appropriate.
Departmental Duties: Alerts faculty members and instructors within the department as needed, including issues related to the working order of rooms and equipment. Maintains sufficient supplies for teaching and other departmental responsibilities, plus other tasks, such as distributing mail, making copies, and passing on information to students. Maintains departmental files in an organized manner.
Assistant to Chair: Serves as an assistant to the chair, including scholarship appointments, helping prepare reports, and assist in other administrative responsibilities.
Semester Duties:25%
Course Schedules: Enters course information provided by the Department Chair into the automated system. Maintain this course information throughout the year as requested by the Chair. Also assists with dropping classes, adding classes, changing times or instructors as needed.
Textbook: Assists faculty in the textbook acquisition process and ensures that all deadlines are met for textbook requests. Requests desk copies for faculty and adjuncts and when necessary, purchases these from the LSUS bookstore or online.
Yearly Duties:5%
Inventory: Completes annual inventory of equipment and compiles lists of surplus equipment.
