Northwestern State University of Louisiana is currently seeking qualified applicants for the position of Administrative Assistant 3.This position is located in Shreveport, Louisiana.
This role provides advanced administrative support and plays a key part in the day-to-day operations of the department. We are looking for a detail-oriented, organized, and dependable individual who thrives in a fast-paced environment.

Minimum Qualifications
Two years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
40%
Develops and maintains accurate databases and spreadsheets of incoming UG clinical students (ASN, BSN, LPN-BSN, LPNASN) each semester.
Prepares and submits Louisiana State Board of Nursing (LSBN) packets for students accepted into clinical courses each semester approximately equals to 400/semester.
Prepares and maintains an up-to-date spreadsheet of student applicants preparing to be submitted to the Louisiana State Board of Nursing (LSBN) each semester.
Prepares and maintains database and spreadsheets for ASN and BSN students requiring unannounced Drug Screening and for those requiring routine lab testing for clinical.
Develops and maintains the database of students for each semester's EBI Survey {ASN and BSN)

Reviews with students the proper completion of the LSBN application.
Responds to calls, including following up or redirecting calls for the Nursing Department Head/Senior Director when out of the office.
Performs receptionist duties for the Administrative Floor at the front desk as needed for coverage.
Proctors standardized exams, such as TEAS Exam when needed and occasionally monitors classroom tests for faculty as needed with the approval of the Nursing Department Head/Senior Director.
Assesses importance of issues or conflicts, and briefs supervisor in timely manner. Independently composes and @types correspondence for signature of Nursing Department Head/Senior Director, regarding administrative matters.
Demonstrates flexibility in moving from one project to another as needed
Prioritizes projects required by the senior director and the four program directors with minimal direction.
Assists with coverage for other departments when their administrative assistant is out of office
Maintains a collegial working relationship with other departmental administrative assistants Answers students' questions related to general program or departmental issues
Respond to request for information; may require interpretation of department rules and regulations Assists with directing student workers in the absence of the primary student worker supervisor Proficient in Microsoft applications, including Word, Excel and Outlook.

Organizes and maintains files and other materials; ensuring confidentiality of information, if needed. Prepare materials needed for meetings.
Attends meetings and records minutes and prepares them for filing electronically and hard copy.
Establishes and maintains electronic files; recording and classifying stored data; extracts, assembles and merges stored information to create new documents.
Retrieves stored documents and files as needed to ensure the smooth continuance of daily program business.
Prepares and mails Requests for Waiver of Po/icy and Requests to Repeat/Re-enroll letters for the ASN and BSN program directors.
Maintains confidential filing system for Student Disclosure Forms
Maintains confidential filing system for Letters of Dismissals for appropriate length of time Manages incidental Files for specific ASN and BSN students as required
Manages files for Dismissed Clinical Students.
Maintains a confidential filing system UG Faculty Productivity Reports, Performance Evaluations, Annual Employment Contracts and any other departmental forms as needed.
Collects and maintains appropriate files for primary source verification of ASN, BSN and MSN faculty
