LSU Shreveport is currently seeking qualified applicants for the position of Administrative Assistant 4. This role provides advanced administrative support and plays a key part in the day-to-day operations of the department. We are looking for a detail-oriented, organized, and dependable individual who thrives in a fast-paced environment.

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
Document Management & Correspondence - 20% Draft, edit, and proofread official communications, memos, and reports Prepare and format academic documents and presentations Maintain both electronic and physical filing systems in compliance with LSU records policies Distribute internal announcements and academic documentation
Scheduling & Calendar Coordination - 15% Manage calendars for Academic Affairs leadership (e.g., Provost, Associate Provost) Schedule meetings, committee sessions, and academic appointments Send reminders, reserve rooms, and coordinate meeting logistics Track recurring deadlines (e.g., curriculum submissions, evaluations)
Financial & Purchasing Support -15% Submit purchase requests and monitor supply inventory Process travel requests and expense reimbursements Coordinate stipends, honoraria, and special faculty payments Track departmental budgets and reconcile monthly reports
Meeting & Event Support - 15% Organize logistics for academic events (Convocation, Commencement, Faculty Senate, etc.) Reserve venues, arrange catering, and prepare materials Take and distribute minutes for key meetings Coordinate post-event follow-ups and documentation
Data Entry & Records Maintenance -15% Enter and update academic data in Banner, Workday, and other systems Maintain records of faculty appointments, credentials, and evaluations Track academic policy changes and maintain compliance documentation Prepare internal reports using spreadsheets and databases
Communication & Front Desk Support - 10% Serve as first point of contact for Academic Affairs Respond to emails, phone calls, and in-person inquiries Route messages and connect faculty/students to appropriate contacts Represent the office with professionalism and confidentiality
Office Operations & Supplies -5% Order and manage office supplies and materials Submit maintenance or IT requests for office equipment and systems State Civil Service Position Description Form Page 3 of 4 Ensure printers, copiers, and scanners are operational Maintain key and access control records
Faculty & Staff Administrative Support - 5% Assist faculty with copying, scanning, and document preparation Support onboarding of new faculty Assemble tenure, promotion, and review packets Coordinate course material requests or textbook tracking as needed.
