Who We Are
The Research Communications team in the Division of Research at Texas A&M University supports the university's research mission through clear, professional, and consistent communication to a wide range of stakeholders. We design and produce materials that help showcase research initiatives. Our team works with principal investigators, their collaborators, research staffs, subject matter experts and senior leadership to develop high-quality creative materials that reflect Texas A&M's brand and message. We ensure that research communication is visually strong, strategically aligned and meets all branding standards.
What We Do
We design and manage creative projects across multiple platforms, including:
Graphic design - Creating print, digital and multimedia materials.
Branding and creative identity - Ensuring consistency across all communication channels.
Event and presentation materials - Designing layouts, signage and graphics for research events.
Multimedia and web content - Managing visual content for division websites and communications.
Collaboration and consultation - Working with university units and vendors to produce high-quality, cost-effective designs.
What We Want
We are seeking a highly organized and proactive Communications Specialist for Special Events. This role is essential for:
Event Planning & Execution: Expertly planning, coordinating, and executing a variety of divisional events, from conferences to social gatherings. This includes managing logistics , timelines, budgets, vendor relationships, and ensuring seamless on-site execution and effective attendee communication.
Office & Administrative Support: Managing daily office operations, providing crucial administrative assistance , overseeing budget tracking, and serving as a primary point of contact.
Team Leadership: Supervising student workers.

Qualifications
Required Education and Experience
Bachelor's degree or equivalent combination of education and experience.
Two years of experience in event planning and coordination.
Required Knowledge, Skills, and Abilities
Exceptional organizational and time-management skills.
Strong attention to detail.
Ability to manage multiple projects simultaneously and meet deadlines (multitask).
Excellent interpersonal and communication skills (verbal and written).
Ability to work cooperatively and effectively with various groups (faculty, staff, students, vendors, public).
Problem-solving skills and ability to handle unforeseen issues during events.
Proactive and able to work independently with general supervision.
Ability to present information clearly and concisely.
Preferred Qualifications
10 years of experience in event planning and coordination.
Experience in higher education or a similar environment.
Experience managing budgets and negotiating with vendors.
Proficiency with event management software and standard office software (e.g., Microsoft Office Suite).
Responsibilities
Event Planning and Production- Plans, coordinates, and executes all logistical aspects of divisional events, including conferences, seminars, workshops, meetings, and social gatherings. Manages event timelines, budgets, and vendor relationships (catering, AV, venues, etc.). Coordinates event registration, attendee communication, and material preparation. Provides on-site event management and support, ensuring smooth execution. Assists faculty and staff with event-related needs and publicity coordination in collaboration with communications teams. Conducts post-event evaluations and reporting.
Office Management- Manages day-to-day office operations, ensuring a well-organized and efficient work environment. Manages office supplies inventory and ordering. Manage maintenance of printer and other office equipment.
Administrative Support- Handles general administrative tasks. Assists with basic budget tracking and processing of invoices or reimbursements related to events and office operations. Serves as the primary point of contact for internal and external inquiries. Coordinates meeting schedules, room bookings, and necessary arrangements.
Supervise Student Workers- Supervises, trains, and evaluates the work of student workers. Develops a work schedule and monitors working hours. Coordinates and assigns projects, sets priorities, and tracks completion.
Other Requirements and Factors
This position will include some evening and weekend work.
This position is security sensitive.
This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures.
All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements.
