The Department of Chemistry is seeking a highly organized Administrative Coordinator II to provide comprehensive staff support for two senior faculty members, their research groups, and the Center for Chemical Characterization and Analysis (CCCA). This role supports the CCCA Director, the Elemental Analysis Lab (EAL) service laboratory manager and supervises student workers. Responsibilities include managing personnel processes, coordinating financial operations, supporting grant and publication preparation, and overseeing travel and event logistics. The position also handles administrative functions for a university-level instrumentation center, requiring independent judgment, discretion, and the ability to manage multiple concurrent projects while serving as a liaison to faculty, students, visiting scholars, and external partners.
Opportunities to Contribute:
Provides administrative support for two senior faculty, their research groups, and the Center for Chemical Characterization and Analysis (CCCA), including the Director and EAL service lab manager.
Manages personnel processes, academic logistics, and compliance for diverse research staff; maintains faculty records, schedules, and supports grant and publication preparation.
Oversees financial operations across multiple university systems, including budgeting, purchasing, reconciliations, invoicing, and audit preparation; ensures compliance with PCI and university standards.
Coordinates domestic and international travel, lodging, and reimbursements for faculty, staff, students, and visiting scholars; maintains travel documentation and policy compliance.
Directs administrative operations of a university-level research center, manages sensitive matters, supports the Director, and liaises with internal and external stakeholders.
Maintains facility access, property inventories, and compliance for restricted equipment and regulated materials; prepares usage reports and supports procedural improvements.
Administers contracts and payment processes for external services through the EAL; maintains agreement records and supports rate study preparation and website content.
Supports academic functions including course material preparation, student communication, and use of platforms such as Howdy and e-Campus.
Supervises student workers, including hiring, training, scheduling, and task management; oversees mail distribution, equipment upkeep, and special projects.
Qualifications
Bachelor's degree or equivalent combination of education and experience.
Three years of experience in office administration.
A well-qualified candidate will also possess:
Five years administrative and supervisory experience in higher education including five years in technical/research administrative assistant experience with TAMU.
Working knowledge of TAMU online protocols for fiscal accounting, purchasing, travel and personnel management.
Working knowledge of spreadsheet, presentation and word processing software programs.
Interpersonal and communication skills and ability to plan and organize effectively.
Ability to multi-task and work cooperatively with others.
High degree of initiative and ability to think and work independently. Maintain a high level security for sensitive information.
Experience with International/foreign knowledge/awareness.
Experience with scientific-technical typing and journal publications procedures and submissions.
Experience with grant funding proposal procedures and submissions.
Moderate to advanced knowledge of Microsoft Office..
Salary: Compensation will be commensurate based on the selected candidate's education and experience.
