What You Will Do
Join our Team! The Engineering Technology & Design (E-DO) Division is seeking a highly motivated, energetic, customer service focused, and experienced administrator to provide professional business and high-level administrative support for a wide variety of generalized office-related activities. You must be an excellent problem-solver, able to anticipate challenges and obstacles and tactfully resolve them while providing advanced professional administrative support to group level management, first line managers, and staff members. While executing your responsibilities, you will consistently maintain a professional office atmosphere, demonstrating attention to detail and accuracy, initiative, versatility, tact, confidentiality, and flexibility. This position will support the Robotics, Automation, and Controls (E-3) Group. E-3 is a full support mechanical, electrical, and process controls engineering services group that provides design, fabrication, testing, installation, and specialized processing systems in nuclear and non-nuclear applications.
You will also work with other team members in the E Division Administrative Operations Team and will strive towards maintaining a close team environment marked by cooperation, adaptability, and a willingness to provide support where needed while serving as a point of contact, resource, and role model for administrative staff throughout E Division. This team is led by E-DO's Staff Operations Manager.
Engineering Technology and Design (E-DO) solves today's national security challenges through innovative application of engineering principles while stewarding and expanding Los Alamos National Laboratory's engineering capabilities to assure answers for tomorrow's evolving threats.

What You Need
Minimum Job Requirements:
Administrative Support
Proven experience providing high-level administrative support in a busy office environment in business operations areas (e.g. complex calendar management, travel, procurement, meeting scheduling/logistics, accurate data entry and tracking, time keeping, vehicle custodian). Experience with solving problems, developing, and implementing solutions, and innovating business practices to ensure customer satisfaction.
Organization and Time Management
Advanced ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Experience working with sensitive, personnel related information. Demonstrated record of dependability, availability, attendance, and punctuality.
Business Systems
Advanced knowledge and experience with Webex, Google Docs, Microsoft Office Suite (particularly with Outlook, Excel, PowerPoint, Word, and Teams). Ability to independently interpret data and information to produce professional Word documents, Excel spreadsheets, and PowerPoint presentations.
Communication
Excellent interpersonal, verbal, and written communication skills while interacting effectively with people throughout the organization hierarchy and in partnership with internal support organizations. Grammatical proficiency, formatting, and editing capabilities expected at this level.
Education/Experience: Position requires a High School Diploma and 5 years related experience; or, an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.
Desired Qualifications:
Knowledge of Laboratory structure and administrative policies and procedures
Demonstrated experience in LANL procurement policies and procedures. Has experience serving as a designated procurement representative (DPR)
Experience using LANL specific business tools: Oracle, Ariba, Concur, etc.
Ability to hold a Q clearance, which normally requires US Citizenship
Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.
Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details
Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.
Clearance: Q (Position will be cleared to this level). Selected applicants will be subject to a background investigation conducted by or on behalf of the Federal Government, and must meet eligibility requirements* for access to classified matter. This position requires a Q clearance. and obtaining such clearance requires US Citizenship except in extremely rare circumstances. Dependent upon the position, additional authorization to access classified information may be required, which may or may not be available to dual citizens. Receipt of a Q clearance and additional access authorization ultimately is a decision of the Federal Government and not of Triad.
*Eligibility requirements: To obtain a clearance, an individual must be at least 18 years of age; U.S. citizenship is required except in very limited circumstances. See DOE Order 472.2 for additional information.
New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.
Internal Applicants: Regular appointment employees who have served the required period of continuous service in their current position are eligible to apply for posted jobs throughout the Laboratory.
