Position: Administrative Assistant (JobID 5351) Location: Administration Building/Central Office Start Date: August 1, 2025 Specifications: 7.00 hours per day, 5 days per week for 260 contract days, Year-round with benefits Pay rate: $29.73 per hour

Job Summary: Coordinates and implements daily and strategic operations in order to assist and support Director and department with administrative responsibilities in a confidential and professional manner.

Qualifications: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills and/or ability necessary.

High school diploma required. Bachelor's degree preferred.

Five years of experience in a similar position; HR experience preferred.

Knowledge of standard office procedures and practices.

Ability to handle multiple tasks simultaneously.

Proficient administrative skills, including organizational skills and the ability to meet deadlines.

Strong technology skills, including but not limited to all tools in the Microsoft Office Suite.

Proficiency in the use of technology for individual and system management, communication, and research.

Strong mathematical, verbal, and written communication skills.

Ability to make decisions independently, as well as to execute assignments of administrative detail as delegated.

Must have high level of interpersonal skills to handle sensitive and confidential situations and information.

Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements.

Candidate must adhere to all local, state, federal, and school code requirements for employment.

Duties & Responsibilities: (Abbreviated - Please review the attached Job Description for more details on this specific opportunity)

Serve as a liaison between the HR Director, legal counsel, and administrative leadership, managing communications, scheduling, and documentation to ensure efficient coordination on sensitive HR matters, legal compliance, and organizational personnel policies.

Manage the HR Director's calendar, including scheduling meetings, coordinating appointments, and ensuring alignment with organizational priorities and availability.

Maintain confidential access to the HR Director's email, monitoring communications, flagging priority items, and supporting timely and appropriate responses.

Provide comprehensive administrative support for labor relations, including preparing documents, coordinating meetings, maintaining records, and ensuring confidentiality and accuracy in all related communications and processes.

Schedules, prepares agenda, attends, and takes minutes for meetings as required. Reserves room accommodations and makes necessary arrangements for refreshments for various meetings.

Arranges reasonable and efficient transportation plans and reserves accommodations for meetings and conferences.

Maintain the Learning Management System (LMS) by updating training content, tracking employee participation, and ensuring compliance with required training completions and deadlines.

Maintain the employee performance evaluation system including assigning evaluation rights and cycles, processing changes, providing support/training to staff and reporting including ESSA.

Prepares monthly Personnel Items for the board agenda and distributes notification letters.

Tracks, reconciles, and reports on budget expenditures. Prepares and submits purchase orders and/or requisitions.

Maintains supplies and orders as needed for the department.

Sets up and maintains efficient office systems and procedures: maintain filing systems in proper order for efficient retrieval; maintains confidential files; maintains anorganized electronic filing system.

Processes Emergency Permits for support staff.

Maintains and tracks Act 168 requests for previous employees.

Manages employee background check system including managing staff members and training new staff.

Monitors and updates HR department website.

Creates and maintains position procedure outline to describe day to day duties of the position/department as needed.

Works in collaboration and coordination with other assistants to ensure accurate communication across departments.
