Description We are looking for a detail-oriented and proactive Administrative Assistant to join our team in Tustin, California. This is a Contract-to-permanent position, offering an excellent opportunity to grow within a dynamic and fast-paced environment. The ideal candidate will provide comprehensive administrative support, ensuring smooth operations and effective communication across teams.

Responsibilities:

Coordinate with clients to plan and manage upcoming events, ensuring their needs are met.

Collaborate with the internal production team to address new requests and requirements.

Arrange and manage on-site labor, transportation, and other logistical needs.

Handle the booking of services and maintain organized records for all arrangements.

Finalize project costs and prepare accurate documentation for invoicing purposes.

Provide exceptional customer service by responding to inquiries and maintaining clear communication.

Perform data entry, email correspondence, and schedule appointments as needed.

Utilize Microsoft Office tools, including Excel, Word, Outlook, and PowerPoint, to complete administrative tasks.

Prioritize and manage tasks effectively, especially under tight deadlines.

Maintain a high level of organization and motivation in a fast-paced setting. Requirements - At least 2 years of experience in an administrative or similar role.

Proficiency in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.

Familiarity with project management tools such as Monday.com is a plus.

Strong organizational skills with the ability to multitask and meet deadlines.

Excellent verbal and written communication abilities.

Basic understanding of the event industry is preferred but not required.

Capable of working independently and collaboratively within a team.
