Description We are looking for an Administrative Assistant to support daily operations in New York. This contract-to-permanent opportunity is ideal for someone who enjoys keeping records accurate, coordinating office activity, and providing responsive communication across a busy shop environment. The person in this role will help maintain organized material and vehicle information while supporting scheduling, front office tasks, and general administrative needs.

Responsibilities:

Maintain accurate records for incoming materials, inventory activity, and vehicle-related information to support smooth daily operations.

Answer inbound calls, greet visitors, and provide attentive front office support for employees, vendors, and customers.

Enter and update data in company systems with a high level of accuracy and attention to detail.

Coordinate schedules, appointments, and administrative priorities to help the shop stay organized and efficient.

Prepare, organize, and file documents so that operational and administrative records remain complete and accessible.

Monitor office and shop-related information, following up as needed to ensure timely communication and task completion.

Assist with general administrative duties that support workflow, recordkeeping, and day-to-day office efficiency. Requirements - Previous experience in an administrative assistant, receptionist, or general office support role.

Strong communication skills with the ability to handle inbound calls and interact effectively with a variety of contacts.

Proficiency with data entry and computer-based administrative tasks.

Ability to manage records, schedules, and multiple priorities in a fast-paced environment.

High level of organization and attention to detail when handling inventory and vehicle information.

Comfortable working independently while also supporting a broader team.
