GENERAL STATEMENT OF DUTIES AND RESPONSIBILITIES Employees in this series perform administrative support functions such as preparing and analyzing correspondence, reports and other materials as needed; arrange meetings with internal and external contacts; respond to inquiries, assist in various office programs, and perform related work as required. DETAILED STATEMENT OF DUTIES ANDRESPONSIBILITIES Perform administrative office responsibilities including greeting and directing visitors, responding to request for building access, and answering telephones. Ensures office activities are operational and in compliance with standards and guidelines.Responsible for the organization and upkeep of detailed filing systems/file rooms. Uses computer software or databases and spreadsheet files. Updates, maintains ArcGIS applications on employee portal: update staff, vehicles, policies. Responsible for the upkeep and knowledge of office machines: such as copier, fax, and postage meter. Participates in acquisition of office equipment. Scheduling use of conference rooms in building, using electronic meeting scheduler/calendar, assisting IT with conference and training equipment setup and breakdown, determine room setup. Providing administrative assistance as directed to other Division staff including Natural Resources Section. Providing administrative assistance to Mechanic group on tracking vehicle inspection fleet. Calculating postage and participating in other mass mailing production. Prepares requisitions for office supplies, research, and secures vendors for office supplies. Maintains office supply inventory. Reproducing & binding reports and other materials. Collecting monthly vehicle mileage sheets, and inputting data into spreadsheet. Track and mail out Handicap Fishing permits Maintaining staff location board. Maintain and update division emergency notification and personnel lists. PREFERRED QUALIFICATIONS 1. Excellent communication written and verbal. 2. Knowledge and/or proficiency working with Microsoft Office 365 including project management and data management. Awillingness to learn new technologies and systems. 3. MINIMUM ENTRANCE REQUIREMENTS: Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below: Substitutions: I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience. II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience. Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed. Educational substitutions will only be permitted for a maximum of two years of the required experience.
