Job Summary:

Panelmatic is seeking an experienced Operations Administrative Assistant. The Shop Administrative Coordinator provides administrative and organizational support to the manufacturing shop, supervisors, leads, and operations leadership. This position helps ensure accurate records, timely communication, employee documentation, scheduling support, and day-to-day administrative activities are completed efficiently.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable working in a fast-paced manufacturing environment

Job Duties:

Provide daily administrative support to shop supervisors, leads, and managers.

Maintain production-related records, trackers, and reports.

Update production status, employee assignments, and other shop information as required.

Support daily production meetings, Tier meetings, and other shop communication.

Track action items and follow up with responsible personnel.

Assist with work-order, traveler, paperwork, and documentation control.

Assist with time management tasks and reports.

Coordinate paperwork and documentation required for completed work and shipments.

Help coordinate meetings, training, audits, customer visits, and special events.

Follow up on outstanding administrative tasks and deadlines.

Assist with new-hire onboarding and coordination.

Maintain employee rosters, department assignments, and organizational information.

Track training, certifications, qualifications, and expiration dates.

Maintain skills matrices and assist supervisors with keeping them current.

Support badge, access, uniform, PPE, and other employee administrative needs.

Coordinate employee communications and shop announcements.

Assist supervisors with attendance and timekeeping documentation.

Accuracy and timeliness of shop documentation.

Timely completion of administrative tasks and follow-ups.

Accuracy of employee, training, and certification records.

Responsiveness to shop leadership and employees.

Effective support of production meetings and communication.

Organization and accessibility of shop records.

Reduction of administrative workload on supervisors and managers.

Support of 5S and overall shop organization.

Requirements

Required Qualifications:

High school diploma or equivalent.

2+ years of administrative, manufacturing, production coordination, or related experience preferred.

Strong computer skills, including Microsoft Excel, Word, Outlook, and Teams.

Strong organizational and time-management skills.

Excellent written and verbal communication skills.

Ability to manage multiple priorities and meet deadlines.

High attention to detail and accuracy.

Ability to work effectively with employees at all levels of the organization.

Preferred Qualifications:

Experience in a manufacturing or industrial environment.

Experience with ERP/MRP systems.

Experience maintaining employee training or certification records.

Experience with production scheduling or coordination.

Experience with 5S, Lean Manufacturing, or continuous improvement.

Intermediate Excel skills, including sorting, filtering, formulas, and basic reporting.
