Summary The incumbent serves as the Administrative Officer for the Behavioral Health & Sciences (BH&S) Care Line at the Lebanon VA Medical Center. Responsibilities The incumbent Supports HR, equipment, and space utilization programs within the Behavioral Health and Sciences Care Line. Major duties include, but are not limited to: Advises leadership on administrative policies, resource use and workload projections. Oversees provider educational requirements as Talent Management System administrator. Assists with staff training on business operations, policies, and procedures. Manages annual inventory, equipment acquisition, repair, and disposal, ensuring requests are appropriate and prioritized. Manages data collection, analysis, and reporting for Behavioral Health & Sciences performance measures, Pay for Performance and clinic utilization. Prepares clinic grids, set-ups, and V-Tel clinic data for leadership review. Supports Performance Excellence Council and COS meetings, and represents BH&S at the Patient Safety Committee with monthly data presentations. Collaborates with the Outpatient Behavioral Health Manager to monitor, document, and report on access measures, contingency coverage, and clinic utilization. Tracks provider workload, leave requests, and missed access opportunities, reporting regularly to leadership. Prepares and submits data for COS, PEC, Patient Safety, Risk Management, and other committees, ensuring timely delivery. Oversees Pay for Performance tracking, bi-monthly provider reports, and tele-mental health targets, including clinic openings, schedules, and administrative support. Monitors and reports on open encounters, clinical documentation status, alerts, and provider training compliance. Manages space assignments, coordinates approved moves, and supports equipment procurement and accountability. Works with the Business Manager and HR to ensure accurate staffing reports for the Care Line. Develops and coordinates internal review systems to ensure compliance with agency, accrediting, and regulatory standards. Collaborates with program managers, Business Manager, PEC Chair, Quality Management, and Accreditation Specialist to identify improvement areas, create monitors, and report outcomes for accreditation processes including CARF, JC, and OIG. Works with the BH Business Manager to monitor expenditures, prepare accurate budget estimates, and ensure timely bill payments. Serves as Contracting Officer Representative (COR), overseeing all phases of BH&S contracts from development to close-out while maintaining COR certification.
