Description We are looking for a detail-oriented Administrative Assistant to support daily office operations for a real estate and property organization in Allston, Massachusetts. This Contract position is ideal for someone who enjoys keeping workflows organized, providing responsive administrative support, and serving as a welcoming first point of contact. The role requires strong communication skills, sound judgment, and the ability to manage phone activity and routine office tasks in a fast-paced environment.

Responsibilities:

Manage incoming calls through a multi-line phone system, direct inquiries to the appropriate contacts, and provide courteous assistance to callers.

Coordinate day-to-day administrative activities, including organizing documents, maintaining records, and supporting general office efficiency.

Greet visitors and help create a welcoming experience for clients, tenants, vendors, and internal staff.

Prepare correspondence, reports, and other routine documentation while ensuring accuracy and timely completion.

Maintain calendars, schedule meetings, and assist with arranging appointments and office logistics as needed.

Support teams with data entry, filing, and tracking of administrative information to keep materials current and accessible.

Monitor office supplies and assist with routine operational needs to help maintain a productive work environment. Requirements - Prior experience in an administrative support or office coordination role.

Ability to operate a multi-line phone system with efficiency.

Strong verbal and written communication skills.

Proficiency with standard office software and general computer applications.

Excellent organizational skills with careful attention to detail.

Ability to manage multiple tasks and adjust priorities in a busy office setting.
