We are looking for an experienced and dependable Administrative Assistant to support daily office operations and provide high-quality coordination across multiple teams. This long-term contract position is covering for a maternity leave but may turn into a full-time role in Q1, 2027. We are looking for someone who is organized, resourceful, and comfortable handling a wide range of administrative tasks with professionalism and discretion. The role offers the opportunity to contribute to reporting, scheduling, office support, and team coordination in a fast-paced, in-person environment.

Responsibilities:

Oversee day-to-day front office support, including handling incoming mail, distributing deliveries, and coordinating shipping and package receipt.

Partner with internal teams to help organize ongoing assignments, track deliverables, and provide administrative support for project-related activities.

Create, revise, format, and distribute reports, presentations, and other business documents with a strong focus on accuracy and consistency.

Coordinate travel logistics when needed, including arranging itineraries and supporting related scheduling details.

Support office hospitality by preparing meeting spaces, welcoming visitors, arranging meals, and assisting with meeting logistics.

Prepare and submit expense documentation while maintaining organized records and timely processing.

Assist analyst and consultant teams with recurring quarterly activities, including monitoring deadlines and helping keep client-related materials on schedule.

Provide operational support for additional administrative tasks, including data entry, call handling, and other office coordination duties as needed.

Requirements - At least 2 years of experience in an administrative assistant or similar office support role.

Strong written and verbal communication skills with the ability to interact effectively across all levels of an organization.

Excellent organizational and planning abilities, with close attention to detail and follow-through.

Advanced proficiency in Microsoft Office applications, including PowerPoint, Word, Outlook, and Excel.

Ability to manage multiple priorities, work independently, and remain effective in a busy office setting.

Sound judgment, discretion, and a service-oriented approach to supporting team and office needs.

Demonstrated willingness to learn new processes, adapt quickly, and contribute wherever needed.
