Administrative Coordinator
Job Overview
The Administrative Coordinator provides professional administrative and clerical support to a team of employees while helping manage daily office operations. This role coordinates meetings, supports travel and onboarding activities, maintains documentation and records, and assists with various administrative tasks under general supervision.
The ideal candidate is organized, dependable, service-oriented, and able to manage multiple priorities while maintaining accuracy, confidentiality, and a strong commitment to safety.
Key Responsibilities:
Provide professional administrative support to employees, leaders, and colleagues.
Coordinate meeting logistics, including:
Booking conference rooms
Ordering food and beverages
Arranging visitor access and escorts
Preparing meeting materials and supplies
Schedule meetings and adjust calendars based on leader and team requirements.
Receive, screen, and direct incoming calls, visitors, and mail.
Prepare reports and compile data in accordance with established procedures and guidelines.
Document completed maintenance activities and enter work history into maintenance-management systems.
Manage document ownership, review dates, retention requirements, and related documentation.
Administer document repositories, file-sharing access, and document-control processes.
Provide documentation support for audits, assessments, and operational reviews.
Assist with employee onboarding activities and related administrative tasks.
Research travel options, including flights, hotels, and rental vehicles, and arrange routine travel as needed.
Run occasional errands and provide general support to the team.
Collect and scan receipts and complete expense reports for personal expenses and submitter review.
Maintain office-supply inventories, place orders, and manage expense reports for office purchases.
Serve as a focal point for office equipment and troubleshoot routine equipment issues.
Use available training and technology resources to expand knowledge and improve job performance.
Maintain proficiency with Microsoft Office and other business software applications.
Identify the appropriate software tools and systems to complete assigned tasks efficiently.
Understand and use the integration of various business and functional systems.
Stay current with changing technologies and information-management practices.
Communicate work status, needs, and recommendations clearly and proactively.
Build effective working relationships with employees, leaders, senior-level administrative professionals, and other stakeholders.
Ask clarifying questions when needed and complete assignments accurately and within established timelines.
Adapt quickly to changing priorities and demonstrate flexibility in responding to business needs.
Identify opportunities to improve efficiency, productivity, and the quality of assigned work.
Demonstrate initiative, independent thinking, sound judgment, and accountability.
