Description

We are looking for an Administrative Assistant to provide reliable office support for a maintenance team in CA. This Contract position is ideal for someone who thrives in a fast-paced environment, keeps information organized, and communicates effectively with employees and internal stakeholders. The role focuses on coordinating daily administrative activities, maintaining accurate records, and helping the department run efficiently.

Administrative Assistant Duties:

Support the Maintenance Superintendent and team members with day-to-day administrative coordination and office tasks.

Prepare, review, and process invoices while maintaining organized and accurate documentation for department records.

Collect, verify, and enter employee timesheet information with close attention to completeness and accuracy.

Organize and maintain filing systems, reports, and other departmental documents in both paper and digital formats.

Coordinate calendars, assist with meeting arrangements, and handle routine correspondence to keep operations on schedule.

Respond to inbound calls and greet or direct inquiries in a courteous manner while providing general office assistance.

Perform data entry and receptionist-related duties to support smooth daily workflow across the department.

Contribute to special assignments and provide additional administrative support as business needs change.

Requirements - Prior experience in an administrative, office support, reception, or customer service role.

Strong ability to manage multiple priorities, stay organized, and follow through on tasks independently.

Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.

Clear written and verbal communication skills with a detail-oriented approach to internal and external interactions.

High level of accuracy in data entry, record maintenance, and document handling.

Ability to manage confidential information with discretion and sound judgment.
