Description

One of our top clients in Pacifica is seeking a polished, highly organized Administrative Assistant to support one of their most important departments. This position is ideal for an administrative professional who thrives in a professional, fast-paced environment and can handle sensitive information with discretion and professionalism.

Responsibilities

Prepare, format, proofread, and distribute correspondence, reports, presentations, and official documents

Coordinate meetings, agendas, materials, and meeting logistics

Serve as a professional point of contact for staff, residents, community members, and external stakeholders

Respond to inquiries and route requests to the appropriate department or staff member

Prepare memos, emails, reports, and other administrative communications

Assist with City Council and other high-level meetings and related documentation

Track projects, assignments, deadlines, and follow-up items

Maintain organized electronic and physical records, files, and confidential documents

Assist with invoices, purchase orders, forms, and other administrative processes

Coordinate information and communications between departments

Assist with special projects and general office administration as needed

Requirements

Qualifications

3+ years of administrative or professional office experience

Excellent written and verbal communication skills

Strong attention to detail and organizational abilities

Ability to manage multiple priorities and meet deadlines

Professional demeanor and strong customer-service skills

Ability to handle confidential and sensitive information with discretion

Proficiency with Microsoft Office, Outlook, Word, Excel, and Teams

Municipal, government, public agency, legal, or similarly structured professional experience is a plus
