The Administrative Assistant provides high-level administrative and operational support to Market Growth and Sales leadership in a fast-paced, customer-focused environment. This role serves as a key partner to leaders and sales teams by managing calendars, coordinating meetings and events, preparing business materials, supporting office operations, and ensuring a seamless employee, client, and broker experience. The ideal candidate is highly organized, detail-oriented, proactive, and capable of managing multiple priorities while maintaining professionalism and confidentiality.
Executive & Administrative Support
Provide administrative support to Market Growth Leaders and Sales leadership, including calendar management, travel coordination, expense reporting, and meeting scheduling.
Prepare, edit, and distribute presentations, reports, spreadsheets, and business correspondence using Microsoft Office applications.
Anticipate leader and team needs, prioritize requests, and ensure timely completion of deliverables.
Meeting & Event Management
Coordinate meetings, client events, leadership meetings, and office activities from planning through execution.
Reserve meeting space, arrange catering, prepare materials, capture meeting notes, and manage logistics.
Support local market events, community engagement activities, broker meetings, and customer-facing gatherings.
Partner with administrative teams across multiple locations to coordinate meetings and leadership activities.
Office Operations
Support day-to-day office operations, including office supply management, promotional inventory, mail distribution, printing, binding, and shipping requests.
Assist with budget tracking, invoice processing, and expense management.
Help maintain a productive and professional office environment while supporting local office initiatives and operational needs.
Collaboration & Service Excellence
Build strong relationships with leaders, sales professionals, brokers, clients, and internal business partners.
Provide responsive support to employees across the sales organization while serving as a trusted resource for administrative needs.
Cross-train and provide backup support for other administrative professionals when needed.
Participate in projects and process improvement initiatives that enhance team effectiveness and office operations.
Qualifications
3+ years of administrative support experience, preferably supporting leaders in a corporate or sales environment.
Strong proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Teams.
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication skills.
Ability to manage competing priorities, work independently, and meet deadlines in a fast-paced environment.
Demonstrated attention to detail, problem-solving skills, and commitment to customer service.
Ability to handle confidential information with discretion and professionalism.
Preferred
Experience supporting senior leaders or executive-level stakeholders.
Health insurance, healthcare, or sales organization experience.
Budgeting, expense management, or accounting experience.
Project coordination or project management experience.
Experience with Salesforce, Concur, Wrike, or similar business applications.
Office operations or facilities coordination experience.
If you will be working at home occasionally or permanently, the internet connection must be obtained through a cable broadband or fiber optic internet service provider with speeds of at least 10Mbps download/5Mbps upload.
For this position, we anticipate offering an hourly rate of 25 - 37 USD / hourly, depending on relevant factors, including experience and geographic location.
This role is also anticipated to be eligible to participate in an annual bonus plan.
