We are looking for a Trusts & Estates Legal Assistant to provide high-level administrative and client support for a busy legal practice. This Long-term Contract opportunity is ideal for someone who thrives in a deadline-driven environment, anticipates needs before they arise, and delivers exceptional service to clients with elevated expectations. The right candidate will bring strong organizational skills, sound judgment, and the ability to manage communications, scheduling, billing coordination, and document preparation with accuracy and professionalism.

Responsibilities:

Serve as a primary point of contact for clients by responding to routine questions, distributing requested materials, and coordinating meetings with professionalism and discretion.

Manage a dynamic calendar by monitoring upcoming appointments, anticipating scheduling needs, and ensuring the attorney is prepared well in advance of client commitments.

Prepare, organize, scan, and upload legal and administrative documents into electronic records systems before meetings and key deadlines.

Support billing activities by preparing and sending invoices accurately while working within tools such as Intapp, 3E, and related paperless workflow systems.

Assemble relevant files, correspondence, and supporting materials ahead of client meetings to promote a seamless and efficient workflow.

Maintain exceptional client service standards when working with high-net-worth individuals, handling interactions with tact, urgency, and attention to detail.

Keep matter-related information organized and accessible by maintaining orderly digital documentation and monitoring follow-up items.

Contribute to the smooth operation of a fast-paced trusts and estates practice by identifying priorities independently and acting promptly on time-sensitive tasks.

Requirements - Prior experience supporting a trusts and estates, probate, or estate administration practice in a legal assistant capacity.

Demonstrated strength in calendar coordination and administrative support within a high-volume detail-oriented environment.

Experience assisting with legal billing processes, including invoice preparation and distribution.

Ability to work with urgency, remain highly organized, and manage multiple priorities with minimal supervision.

Strong client service skills needed to support high-net-worth clients and manage sensitive communications.

Proficiency with document management and office technology, including electronic filing and scanning workflows.

A self-directed approach to work, with the ability to anticipate needs, prepare materials in advance, and follow through reliably.
