Summary The position functions as a Management and Program Assistant (OA) within the Chief of Staff Office for the Orlando VA Medical Center. Employees are responsible for performing administrative functions that include management analysis processes, human resources, budget, space planning, property management, supply management and general administration management. Responsibilities Duties include but are not limited to: Performs work in support of general management and program analysis functions related to the operations of clinical or support services subordinate to the Deputy Chief of Staff (DCOS), including identifying and performing routine administrative tasks that support the organizational planning process. Develops, reviews, and monitors administrative management requirements for the Deputy Chief of Staff office, supporting its many subdivisions and functions across both evolving and established requirements, and applies administrative policies while maintaining various administrative systems. Drafts, develops, and reviews correspondence, reports, policies, memoranda, and other documents related to management and administrative programs, ensuring accuracy and compliance with organizational standards; performs document review and tracking. Prepares and assembles current and historical charts, data, reports, and narrative materials to support ongoing organizational planning and to assist the Administrative Officer and Deputy Chief of Staff in making managerial decisions on complex matters regarding clinical services. Prepares recurring reports (daily, weekly, monthly, and quarterly) for the Deputy Chief of Staff relative to subordinate sections, including the collection, compilation, and tracking of data and statistical information for workload requirements. Demonstrates advanced proficiency in data gathering, processing, and arrangement using Microsoft Office Suite, Power Automate, SharePoint, and similar digital tools. Receives and screens callers and visitors; gathers, compiles, assembles, and @types information from various sources; schedules and arranges appointments and meetings; maintains the calendar of the Executive and interdepartmental committees; records, transcribes, and prepares meeting minutes; and processes paperwork required for new employees. Provides advice and guidance to managers and employees on questions and situations related to the administrative services provided for the Deputy Chief of Staff office. Assists the Administrative Officer in maintaining suspense for all reports, action items, congressional inquiries, and other requested actions of the service. Makes travel arrangements, serves as timekeeper, and performs other administrative tasks as assigned.
