About the Opportunity
This is an open position with FirstEnergy Service Company, a subsidiary of FirstEnergy Corp.

This is an onsite position located in Washington, PA.
Responsibilities include :
Demonstrating a solid commitment to all aspects of safety; maintaining a safe workplace for coworkers based upon knowledge of potential hazards and industry regulations/requirements.
Performing a variety of complex technical administrative assignments requiring initiative, judgment and well-developed knowledge and skills.
Planning for forestry team events regarding scheduling, reserving facilities, and arranging for lunch and assisting with travel arrangements including use of Concur tool to assist with Hotel and Vehicle rentals occasionally.
Providing administrative support for the PA Forestry Manager, Supervisor, and Specialists including assistance working and collaborating with other forestry groups around FE included but not limited to Forestry Program Management and the Oversight Team. Supporting all team members with routine, day-to-day, and administrative activities
Maintaining information on relevant internal SharePoint sites; TEAMS channels; and Shared folders
Timely and accurate processing of contractor timesheets and invoices in VGMS the timesheet retention system. Includes working with business services to reconcile order numbers.
VGMS: Load rates from purchase orders, update mileage progress, update Contractor Audits, and Outage Information.
Work in SAP/CREWS, creating PDF reports for staff and closes down CREWS orders with comments, updates info on New Construction
Support staff with various administrative tasks such ordering forms, assist with voucher processing, mailings, Customer Account comments, ISA/Herb Licensing/insurance, creation of Job Orders
Ordering and shipping supplies for vegetation management staff.
Process check requests and complete various SAP function
Maintaining POD list of specialist and weekly notifications to broader PA Operations team regarding off POD contacts and scheduled duty along with maintaining system call current within the DCC system with both staff and vendors keeping crew call out lists current. Responsible for maintaining current forestry vendor rosters and contact lists.
Confirm weekly POD schedule and list. Communicate and assist with working through when gaps are identified.
Providing administrative support regarding payment process in VGMS system and SAP. Grouping time sheets and making ready for payment review and approval including validation of order numbers contained within.
Maintaining a high degree of confidentiality on projects and employee-related information.
Taking initiative to solve problems and help bring issues to closure.
Update CREWS by working with staff to support data close out.
Work with Staff to help support Outage Investigation timely update as needed.
Demonstrating a willingness to question established procedures and processes.
Demonstrating sound internal and external customer service.
Consistently anticipating and delivering results.
Proactively working to ensure knowledge is transferred to others Admin Tech and Forestry staff to help ensure continuous learning and accountability.
Create, fill out weekly, and keep current production tracking sheets and mileage data
Add weekly mileage from specialists into production tracker and VGMS and send reminder emails to specialist if not current by Tuesday morning.
Add crew counts and location information onto Daily/Weekly tracker
Utilize PowerBi Master View along with several other VGMS based Powerbi reports for producing value added reporting views for the staff, supervisors, and manager. Including cost based, unit based, labor and equipment-based metrics
Supporting VMS onboarding with Vendors and staff. Lining up classes, maintaining access, assist with contacting prompt required log in; Interacts closely with the VMS team.
Assist Manager, Supervisors, and Specialist with budget tracking information down to the district and specialist views.
Qualifications include :
High school diploma or GED required.
2 years of relevant work experience required which include data reporting, cost reporting and basic understanding of the forestry team and subject matter.
Proficient with SAP and Microsoft Office tools, including Excel, PowerPoint, Access and Word
Strong TOAD, Excel and Access skills required
Good analytical, critical thinking and problem-solving skills
Excellent verbal and written communication skills
Excellent customer service skills
Ability to continually look for ways to improve processes
Must be a self-starter and require minimal supervisory oversight with good time management skills
Ability to organize and multitask, and handle pressure in a constantly changing environment

Prior experience in an administrative support role.
Prior experience with SharePoint content maintenance preferred.
