Job Title: Office Administrator
Job Description
The Office Administrator plays a key role in supporting daily business operations and partnering closely with company leadership, including the CEO and CFO. This position is ideal for an early-career professional who is highly organized, proactive, and motivated to learn how a successful and growing business operates. The role offers a clear development path into positions such as Office Manager, Executive Business Partner, Operations Manager, or Chief of Staff as the organization continues to expand.
Responsibilities
Provide comprehensive administrative support to the CEO, CFO, and leadership team, ensuring they are well-prepared and organized for daily activities.
Manage calendars for executives, including scheduling meetings, coordinating appointments, and resolving conflicts in a timely manner.
Coordinate travel arrangements and itineraries for leadership, including flights, accommodations, transportation, and related logistics.
Track and organize expenses for leadership, ensuring accurate documentation and timely submission of reports.
Prepare professional presentations, reports, spreadsheets, and other business documents using Microsoft Office tools.
Organize and maintain both digital and physical filing systems to ensure information is accessible, secure, and up to date.
Assist with internal communications and company announcements to keep employees informed and engaged.
Coordinate office operations, including ordering and managing supplies, working with vendors, and addressing facilities-related needs.
Help plan and execute company meetings, events, and employee engagement activities, ensuring smooth logistics and a positive experience for participants.
Support cross-functional projects and strategic initiatives by assisting with coordination, documentation, and follow-up.
Track action items arising from meetings and discussions, and follow up on key deliverables for leadership to ensure timely completion.
Greet visitors in a professional and welcoming manner, serving as a positive representative of the company.
Identify opportunities to improve administrative processes and organizational efficiency, and propose practical solutions.
Provide general clerical and office management support as needed to ensure smooth day-to-day operations.
Essential Skills
1-3 years of administrative, office support, customer service, or related experience.
Strong organizational and multitasking abilities, with the ability to manage multiple priorities simultaneously.
Excellent written and verbal communication skills.
Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint.
Ability to prioritize tasks and adapt effectively in a fast-paced environment.
Strong attention to detail and follow-through on assignments and commitments.
High level of professionalism, discretion, and ability to maintain confidentiality.
Positive attitude, strong work ethic, and willingness to learn new skills.
Demonstrated ability to provide administrative assistance and clerical support.

This is a Contract to Hire position based out of South San Francisco, CA.
Pay and Benefits
The pay range for this position is $22.00 - $26.00/hr.
Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
