Job Description

The Customer Service Specialist supports daily facility operations at a client site while providing responsive, professional service to employees and visitors. This role manages customer requests through Maximo, performs routine facility walks, completes preventive maintenance tasks, and assists with conference room setups, supply deliveries, housekeeping, parking-lot cleanup, and other general facility needs. The specialist identifies and addresses unsafe or unsanitary conditions, prioritizes urgent service tickets, and coordinates with the appropriate teams when additional support or approval is required. The position involves regular client interaction, teamwork, computer-based documentation, access-control responsibilities, and strict adherence to site safety procedures. Scheduled hours of operation are 6:00 a.m. to 3:00 p.m.

Skills and Requirements

Ability to manage, prioritize, update, and close customer service requests using Maximo or a comparable work-order management system.

Ability to conduct facility inspections at least twice daily and identify safety hazards, building damage, debris, and unsanitary conditions.

Strong customer service and communication skills, with the ability to interact professionally with clients, tenants, and visitors.

Ability to follow written safety procedures, perform task-level hazard assessments, report incidents and near misses, and stop work when conditions are unsafe.

Ability to complete required forms, computer-based activities, emails, and safety documentation accurately and on time.

Ability to follow site access-control and information-security requirements, including proper use and protection of an assigned access badge.

Ability to work independently and collaboratively, request assistance when a task requires additional personnel, and involve a team member when handling loads greater than 40 pounds or items that are awkward to carry.

Ability to safely use required personal protective equipment, which may include a hard hat, safety vest, safety glasses, steel-toed boots, work gloves, snake chaps, and an H2S monitor, depending on the site.

Willingness and ability to complete all required onboarding and site training, including driver training, client and site orientation, business conduct and ethics, compliance, data privacy, information risk management, and golf-cart safety.

Ability to support preventive maintenance, supply pickup and delivery, conference room setups, general cleanup, and other facility-service tasks as assigned.

Ability to report to each shift fit for duty and perform responsibilities in a consistent, attentive, and safety-focused manner. - Previous experience in facilities services, workplace operations, building services, hospitality, or a customer-facing support role.

Prior experience using Maximo or another computerized maintenance management system.

Familiarity with Job Hazard Analysis, safety observation programs, incident reporting, and near-miss documentation.

Experience supporting mailroom operations, catering delivery and pickup, landscaping, janitorial services, move services, or conference room setups.

Previous experience working at an access-controlled corporate or industrial site.

Familiarity with preventive maintenance processes and routine facility inspections.
