Administrative Coordinator

Description We are looking for an experienced Administrative Coordinator to support daily operations for a luxury residential property in Palm Beach, Florida. This Long-term Contract opportunity is ideal for someone who brings strong organizational skills, attention to detail, and a service-focused approach to every interaction. In this role, you will serve as a key point of contact at the front desk while helping keep schedules, documentation, and office activity running smoothly.

Responsibilities:

Welcome residents, guests, and vendors with a detail-oriented demeanor and deliver attentive front desk support

Manage calendars, appointments, and scheduling needs to ensure efficient coordination across the office

Create, organize, and submit project documentation while maintaining accurate administrative records

Partner with internal teams to keep day-to-day office functions operating effectively

Respond to inbound calls and direct inquiries to the appropriate contacts in a timely manner

Provide broad administrative assistance to support operational priorities and resident-facing services Requirements - Prior experience in administrative support, office coordination, or front desk operations

Strong background in calendar management, scheduling, and handling multiple priorities

Ability to answer inbound calls professionally and communicate clearly with residents and staff

Excellent organizational skills with close attention to detail when preparing documentation

Customer-service mindset with the ability to represent a high-end residential environment professionally

Proficiency with standard office software and general administrative processes TalentMatch®
