Legal Administrative Assistant (Entry-Level to Experienced)

Location: Chester, NY 10918 (100% Onsite)

Pay Rate: $19.00 - $25.00 / hr W2 (Tiered by experience level)

Position Type: 6-Month Contract-to-Hire

Employment Type: Direct W2 Only (Strictly No Corp-to-Corp / C2C, 1099, Third-Party Agencies, or W2 Referrals)

Pay Rate Structure

$19.00 - $21.00 / hr: Entry-Level Administrative candidates (No direct legal experience)

$22.00 - $23.00 / hr: Candidates with 1 to 3 years of legal administrative experience

$24.00 - $25.00 / hr: Experienced candidates with 4+ years of legal administrative experience

Position Overview

We are seeking an organized, proactive, and detail-oriented Legal Administrative Assistant to join a corporate Legal Department in Chester, NY. Whether you are an entry-level professional eager to break into corporate legal operations or an experienced legal administrative assistant, this role provides critical clerical, data, and operational support to ensure smooth department workflows.

The ideal candidate possesses strong proficiency with Microsoft Office applications, excels at multitasking in a fast-paced setting, and handles confidential information with discretion and professionalism.

Key Responsibilities

Legal & Departmental Support: Provide comprehensive administrative and clerical support to the corporate legal team, assisting with department projects and daily operational tasks.

Invoicing & Expense Management: Process department invoices using Basware and prepare travel/expense reports via Oracle.

Scheduling & Travel Coordination: Coordinate schedules, arrange hotel reservations and travel logistics, schedule conference calls, answer incoming inquiries, and manage message routing.

Contract Data Management: Accurately enter and update contract data in tracking systems in a timely manner to maintain high data quality standards.

Document & Report Preparation: Collect sensitive and confidential information to compile and prepare accurate departmental reports.

Data Computation & Analysis: Perform fundamental mathematical computations and tabulate financial or contract data using Microsoft Excel.

Front Desk Coverage: Participate in the front desk coverage rotation to greet visiting employees, guests, and vendors in a welcoming, professional manner.

Position Requirements & Qualifications

Education: High School Diploma or GED required; Associate's or Bachelor's degree (e.g., Legal Studies, Business Administration) is a plus.

Experience: Open to entry-level administrative candidates up to 4+ years of legal department/law firm experience.

Software Proficiencies: Solid computer proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with ERP/financial software (e.g., Oracle, Basware) is a plus.

Core Skills: Outstanding organizational, analytical, and time-management skills with sharp attention to detail.

Communication: Clear and effective written and verbal communication skills across all organizational levels.

Flexibility: Ability to work flexible hours/overtime as needed to support business deliverables.

Work Location: Ability to work 100% onsite in Chester, NY 10918 .
