Job Title: Accounts Payable Associate

Pay Rate: $20.00 - $23.00 / hr W2

Job Type: Contract-to-Hire

Employment Type: Direct W2 Only (Strictly no Corp-to-Corp / C2C, third-party agencies, or W2 referrals)

Position Overview

We are seeking a detail-oriented and dependable Accounts Payable Associate to join our team in Chester, NY. In this role, you will support all functional aspects of the AP department, including invoice auditing and processing, vendor verification, expense report auditing, American Express payments, and electronic document indexing.

Key Responsibilities

Invoice Processing & Auditing: Process automated invoices (Programming, Rents, Install, Franchise Fees, DSR) and audit/approve invoices using 3rd-party applications. Ensure all invoices in Oracle contain proper coding and signatures.

Vendor Management: Verify new vendors on the IRS site prior to ERP entry, update remittance/address changes, maintain Certificates of Insurance (COI), and handle vendor aging statement reconciliations.

Expense Reports & Payments: Audit and approve employee expense reports, enter cash disbursement wires, and facilitate vendor payments via American Express.

Mail & Disbursements: Handle incoming mail (USPS, FedEx, UPS), date stamp, and distribute invoices. Generate FedEx labels for outgoing checks, organize check runs, and maintain check/report archives.

Digital Archiving & Problem Resolution: Scan and index checks and invoices into DocuWare for electronic storage. Investigate and resolve invoice discrepancies to ensure timely payment.

Position Requirements

Education: High School diploma required; Associate degree preferred.

Experience: 2 years of Accounts Payable experience preferred.

Technical Skills: Proficiency in Microsoft Office Suite (Outlook, Excel, Word). Experience with Oracle ERP or DocuWare is a plus.

Core Competencies: Strong attention to detail, ability to multitask in a high-volume environment, excellent communication skills, and the capability to work both independently and collaboratively.
