About the Opportunity

Robert Half is partnering with a well-established brokerage firm in Rye, NY, to identify a highly organized and professional Administrative Assistant. This position plays a key role in supporting financial advisors and office leadership by managing daily administrative operations, coordinating client communications, and ensuring a seamless office experience. The ideal candidate is detail-oriented, customer-focused, and thrives in a fast-paced professional services environment.

Key Responsibilities

Provide administrative support to financial advisors, management, and office staff.

Answer and direct incoming phone calls while maintaining a professional and courteous demeanor.

Manage calendars, schedule meetings, and coordinate appointments.

Prepare, edit, and format correspondence, reports, presentations, and client documentation.

Maintain accurate electronic and physical filing systems.

Assist with account paperwork, document processing, and client onboarding materials.

Coordinate office meetings, conference room scheduling, and visitor reception.

Process incoming and outgoing mail, shipments, and office correspondence.

Order and maintain office supplies and assist with vendor relationships.

Support special projects and assist with various administrative tasks as needed.

Ensure confidentiality of sensitive client and company information.

Requirements

Qualifications

Associate's degree preferred; high school diploma or equivalent required.

2+ years of administrative support experience, preferably within financial services, banking, insurance, or a professional office environment.

Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Excellent verbal and written communication skills.

Strong organizational and time-management abilities.

Exceptional attention to detail and accuracy.

Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.

Professional demeanor and strong client service skills.

Preferred Experience

Previous experience supporting financial advisors, brokers, or wealth management professionals.

Familiarity with financial services terminology and documentation.

Experience using CRM systems and document management software.
