The Sales Coordinator plays a key role in supporting the full order lifecycle, acting as the primary liaison between the sales team, customers, inventory coordination, product coordination, credit, and transportation. This role focuses on delivering exceptional customer service, managing CRM and order entry processes, and coordinating logistics to ensure that every order moves smoothly from initial entry through shipment and billing. You will build strong relationships with assigned accounts and third-party vendors while working in a fast-paced, high-pressure environment that offers long-term growth and development opportunities.
Responsibilities
Facilitate all aspects of the order process, including order entry, shipping coordination, and billing, ensuring accuracy and timely completion.
Serve as the main point of contact between sales, inventory coordination, and product coordination for issues related to open orders, inventory inquiries, shipping, and billing.
Work directly with sales team members and customers to resolve order-related issues, coordinate deliveries, and process all necessary paperwork.
Enter orders into the OHM system via mobile app for the majority of transactions, with occasional manual data entry as required.
Accurately create, manage, and file all order-related documentation, including bills of lading, certificates of analysis, and purchase orders.
Collaborate with Product Coordination to source appropriate materials and ensure that inventory aligns with customer orders.
Coordinate with the Credit Department to confirm that customers have proper credit approval before releasing orders.
Set up shipment orders through OTM and partner with Transportation Coordinators to resolve any transportation or delivery issues.
Ensure that orders are processed and advanced through the system within established timeframes, typically within 48 hours.
Track shipments throughout the entire transportation process to ensure on-time delivery and proactive communication with stakeholders.
Gather and evaluate freight rates when necessary to support cost-effective shipping decisions.
Own the order process from start to finish, including updating orders in the system, checking customer credit, verifying inventory, and coordinating with the transportation team to arrange accurate shipping methods.
Field primarily email communications and light phone calls from assigned accounts, maintaining a professional and responsive customer service experience.
Develop and maintain strong relationships with assigned accounts and third-party vendors to support ongoing business and repeat orders.
Work effectively as part of a team of customer service and sales support professionals to meet departmental goals in a high-pressure, fast-paced environment.
Multitask and prioritize workload to manage multiple open orders and customer inquiries simultaneously.
Essential Skills
3-5 years of customer service experience, preferably in a role involving order processing or sales support.
3-5 years of data entry experience with a strong focus on accuracy and attention to detail.
3-5 years of experience using Microsoft Excel for tracking, reporting, and managing order-related data.
3-5 years of experience working with CRM systems to manage customer information and order history.
Hands-on experience with order entry and order processing in a business environment.
Demonstrated ability to coordinate logistics, including shipment setup and transportation follow-up.
Strong communication skills for handling email and phone interactions with customers, sales teams, and vendors.
Ability to work effectively under pressure and in high-stress situations while maintaining accuracy and professionalism.
Proven ability to multitask and manage multiple orders and priorities simultaneously.
Ability to work successfully in a team-oriented environment with close collaboration and shared responsibilities.
Additional Skills & Qualifications
Experience in sales coordination, inventory coordination, product coordination, or sales support roles.
Comfort working with purchase orders, bills of lading, certificates of analysis, and other order-related documentation.
Proficiency in Microsoft Excel beyond basic functions is beneficial.
Experience working with transportation management systems such as OTM is a plus.
Ability to build long-term relationships with assigned accounts and third-party vendors.
Strong organizational skills and a structured approach to managing paperwork and digital records.
Interest in developing industry knowledge and building a long-term career in a fast-paced, rewarding sector.
Preference for candidates with solid practical experience over formal education, though all relevant backgrounds are welcome.

The pay range for this position is $57500.00 - $57500.00/yr.
