We are looking for a detail-oriented Bilingual (English/Spanish) Administrative Coordinator to support daily office operations in Itasca, Illinois. This contract-to-hire opportunity is ideal for someone who enjoys creating an organized, welcoming workplace while coordinating schedules, meetings, and employee-focused activities. The person in this role will work closely with internal teams and visitors, helping ensure the office runs smoothly each day.

Responsibilities:

Build strong working relationships across departments to address office-related needs promptly and keep communication flowing effectively.

Coordinate conference room usage by managing scheduling requests and preparing meeting areas for both employee and client events.

Welcome guests and clients in a courteous manner to create a positive on-site experience.

Arrange food, beverages, and other refreshments for meetings and special gatherings as needed.

Contribute to employee engagement efforts by helping organize celebrations, recognition activities, and internal events.

Provide Spanish translation support for documents when needed to assist communication across teams.

Support administrative operations through scheduling, inbound call handling, and general office coordination tasks.

Take ownership of additional assignments and special projects to support evolving business needs.

Requirements

MUST have Bilingual communication skills in English and Spanish, including the ability to translate written documents.

Previous experience in an administrative, office support, or coordinator role.

Ability to manage calendars, schedules, and meeting logistics with strong attention to detail.

Comfortable handling inbound calls and interacting professionally with employees, clients, and visitors.

Strong organizational skills with the ability to prioritize multiple responsibilities in a fast-paced environment.

Proficiency with general administrative tasks and standard office procedures.

Dependable judgment, professionalism, and a customer-focused approach to workplace support.
