Job Title: Sales Administrator
Job Description
The Sales Administrator effectively manages internal sales and commercial activities for the Sales department, providing comprehensive support to Sales Representatives and acting as a key liaison between Sales and internal teams such as Finance, Production Control, and Quality. This role focuses on price and volume tracking, monthly and annual sales reporting, quote tracking, customer invoicing, payment verification, unit price tracking, and data management, ensuring accurate and timely commercial administration that supports overall business growth.
Responsibilities
Track and report weekly, monthly, and annual sales activities to provide accurate visibility into sales performance.
Maintain all customer purchase orders and update price tracking documents to ensure current and accurate commercial records.
Create and maintain monthly closing statements to support financial and sales reporting requirements.
Perform weekly tracking and verification of customer volumes against purchase orders to identify discrepancies and ensure alignment.
Prepare proto@type quotes, maintain records of proto@type sample delivery, and track related payments to support new business activities.
Monitor and communicate customers' volume release information within the organization to keep internal stakeholders informed.
Manage accounts receivable payment reconciliation and support collection of past due amounts, including internal investigation and reconciliation or dispute of customer debits and chargebacks.
Track, maintain, and actively pursue closure of outstanding tooling payments from customers.
Create customer invoices, ensure timely payments, and work to resolve any payment disputes in a professional and efficient manner.
Manage commercial record changes, including part prices, volumes, and part number tracking, as well as price changes due to engineering changes or other commercial activities.
Act as the Sales Department liaison to all internal customers, ensuring clear communication and effective collaboration across departments.
Monitor customers' supplier portals and effectively communicate requirements within the organization to ensure compliance and timely response.
Support the Sales department with annual sales and booking plans and assist with sales-related activities as required.
Perform special projects as needed to support the Sales department and broader business objectives.
Essential Skills
3+ years of sales administration experience within the automotive industry.
Hands-on experience in sales support, sales administration, and inside sales activities.
Proficiency in managing purchase orders, order entry, and order processing.
Strong customer service orientation with experience in customer service and account management.
Accurate data entry skills and experience with administrative support functions.
Strong computer skills, including proficiency with Microsoft Office.
Advanced skills in MS Word and MS Excel for reporting, documentation, and data analysis.
Experience working with accounts receivable processes and payment reconciliation.
Excellent verbal and written communication skills.
Ability to manage multiple tasks, programs, and customers simultaneously.
Detail-oriented approach with strong organizational skills.
Self-motivated and able to work independently while supporting a team environment.
Additional Skills & Qualifications
Experience with Stellantis (FCA) and/or Volkswagen is preferred, and experience with other automotive OEMs will be considered.
Background in automotive industry sales administration is beneficial.
Comfort working with customer supplier portals and internal cross-functional teams.
Customer-focused mindset, consistently prioritizing customer needs and satisfaction.
Ability to adapt in a fast-growing, expanding organization with evolving processes and systems.
Work Environment
This is a full-time, on-site position based in Michigan, working Monday through Friday with a schedule of either 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m. The role will initially be located in Pontiac, MI for approximately the first three to four months, after which operations will move to a larger facility in the New Baltimore area to support significant expansion and growth.

Pay and Benefits
The pay range for this position is $30.00 - $36.00/hr.
