Permanent Part-time Clerical Specialist

HOURS OF WORK: 9:00 AM TO 2:00 PM (fluctuating when necessary)

MINIMUM QUALIFICATIONS FOR EMPLOYMENT: An example of acceptable qualifications:

Completion of secondary education or equivalent (high school diploma or GED); one (1) or more years of related experience and/or training; or any equivalent combination of education, experience, and training which provides the required knowledge, skills, and abilities to perform the essential functions of the position. Must be able to read, write, speak, and understand the English language.

LICENSURE OR CERTIFICATION REQUIREMENTS:

Must possess a valid Ohio driver's license and maintain insurability under the County's vehicle insurance policy.

EQUIPMENT OPERATED: The following are examples only and are not intended to be all inclusive.

Computer, copier, printer, phone, fax machine, postage machine, and other standard/modern office equipment; scanners; motor vehicle; computer software (e.g., Microsoft Office, On Base, Compass Pilot [digital image storage], and other applicable computer software).MINIMUM ACCEPTABLE CHARACTERISTICS: (* indicates developed after employment)

Knowledge of: Federal and state laws/rules pertaining to social services and income maintenance; county, department, and division goals and objectives; county, department, and divisional policies and procedures; work place safety; office practices and procedures; business grammar and spelling; data entry; records management; community resources and services.

Skill in: Typing; data entry; word processing; switchboard or telephone console operation; computer operation; computer programs (e.g., Microsoft Office, DJFS specific software, etc.); adding machine or calculator operation; scanner; use of modern office equipment; speaking; reading comprehension.

Ability to: Carry out instructions in written, oral, or picture form; deal with problems involving several variables with familiar @context; complete routine forms; prepare accurate documentation; compile reports; gather, collect, and classify information; add, subtract, multiply, and divide whole numbers; communicate effectively; respond to inquiries from public and/or officials; develop and maintain effective working relationships; travel to and gain access to worksite.

ESSENTIAL FUNCTIONS OF THE POSITION: For purposes of 42 USC 12101:

60% (1) Maintain centralized reception for PA, CSEA, and PCSA, answer incoming phone calls on a multi-line switchboard, create labels/forms/memos as needed. Send, receive, sort, and distribute outgoing and incoming mail for the agency. Scan and categorize customer documents in digital imaging system (EDMS). Works as receptionist to receive and direct incoming phone calls and lobby visitors. Accept and receipt payments received by the agency. Prepares intermediate-level correspondence (i.e. documents requiring use and understanding of technical language and applications) (e.g. case file folders, inter-county case transfers) fairly independently according to standard operating procedures and instructions, and/or operates data entry and data verification equipment check for accuracy and sufficiency of data and make corrections and adjustments as needed, and/or performs specialized clerical tasks.

30% (2) Scan, process, fax and assign documents; make administrative building mail run; keep daily log of clients coming into the agency; makes copies; oversee recycling/shredding, pickup and scheduling; assist incoming clients; operate postage machine; perform general clerical duties and provides assistance to agency personnel.

5% (3) Serves as back-up phone coverage and mail processing for Ohio Means Jobs, as needed.

(4) Attends trainings, conferences, and meetings.

(5) Maintains required licensures, certifications, and continuing education
