Our client, a growing HVAC services company, is seeking a professional and customer-focused Administrative Assistant to join their team on a contract-to-hire basis. This role is ideal for someone who thrives in a fast-paced environment, enjoys multitasking, and takes pride in delivering exceptional customer service.

The Administrative Assistant will serve as the first point of contact for customers, vendors, and contractors while supporting daily office operations. The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities throughout the day.

Key Responsibilities

Answer and route incoming phone calls professionally and efficiently

Coordinate and communicate with contractors, technicians, and customers

Respond to general inquiries regarding services, appointments, and company information

Process invoices and assist with accounts payable-related administrative tasks

Maintain accurate records and filing systems

Schedule appointments and update service calendars as needed

Assist with data entry and administrative reporting

Provide excellent customer service and resolve issues in a timely manner

Support various office functions and special projects as assigned

Requirements

Prior experience in an administrative support, office assistant, or receptionist role.

Ability to handle a high volume of inbound calls with professionalism and strong customer service skills.

Proficiency in data entry with close attention to accuracy and detail.

Comfortable performing general office tasks, including filing, document handling, and record maintenance.

Strong verbal and written communication skills with the ability to interact effectively with staff and visitors.

Reliable organizational skills and the ability to manage multiple priorities in a busy office environment.Qualifications

Previous administrative, customer service, receptionist, or office support experience

Strong multitasking and organizational skills

Excellent verbal and written communication abilities

Ability to work effectively in a busy office environment

Proficiency with Microsoft Office Suite (Word, Excel, Outlook)

High attention to detail and accuracy

Friendly, professional, and customer-focused demeanor

Experience within the HVAC, construction, trades, or service industry is a plus
