We are seeking an Administrative Assistant to support our Surface Care team located at our Ivorydale site located in St Bernard right outside of Cincinnati, OH. This position provides comprehensive administrative support to the Vice President and two Senior Directors within the Surface Care R&D organization. The successful candidate will play a critical role in ensuring operational excellence, enabling leadership effectiveness, and fostering collaboration across Surface Care teams and stakeholders. This role requires strong judgment, discretion, and the ability to operate seamlessly across multiple priorities in a dynamic R&D environment.

Key Responsibilities:
Executive Support:
o Manage complex calendars, coordinate meetings, and arrange domestic/international travel for the VP and two Senior Directors.
o Prepare agendas, organize logistics, and ensure follow-up for business meetings involving multiple Surface Care R&D groups, requiring excellent coordination across teams and functions.
o Proactively manage projects and workflows, enabling leaders and their teams to focus on strategic priorities.
Cross-Group Collaboration & Coordination:
o Serve as a central point of contact, facilitating communication and collaboration between the VP, Senior Directors, Surface Care R&D teams, and internal/external partners.
o Build and maintain networks across functions, ensuring information flows smoothly and priorities are aligned.
o Coordinate activities and initiatives that span multiple Surface Care teams, adapting to different working styles, priorities, and organizational needs.
Administrative Excellence:
o Maintain office systems, records, and documentation with accuracy and confidentiality.
o Demonstrate superior organizational skills in managing multiple priorities and shifting demands.
o Support budget management, expense tracking, and stewardship of global resources.
o Manages budget planning and executional activities including Purchase Order creation and tracking, budget forecasting, actuals monitoring, and cross-charge allocation using SAP, Coupa, and related procurement tools.
Technical Proficiency:
o Utilize advanced skills in Outlook, Word, PowerPoint, Excel, SAP, and SharePoint to support business operations.
o Leverage P&G administrative systems for reporting, scheduling, and workflow management.
o Interest in learning and applying AI-enabled productivity tools, such as Microsoft Copilot, to improve efficiency, communication, and workflow management is considered an asset
Leadership & Professionalism:
o Represent the office with professionalism, discretion, and maturity.
o Take initiative in areas of responsibility, working independently and anticipating needs.
o Uphold the highest standards of confidentiality, handling sensitive information with care.
Communication:
o Exhibit excellent verbal and written communication skills.
o Draft correspondence, reports, and presentations for leadership.
o Engage with external partners and vendors as needed.

Required Qualifications
· High School Diploma/GED or higher degree.
· Proven experience supporting senior leadership in a fast-paced, global organization.
· Demonstrated ability to manage complex schedules and competing priorities for multiple leaders.
· Strong technical proficiency in office and business software.
· Strong budget forecasting, actuals tracking, and reporting skills. Demonstrated expertise in SAP, Coupa (Purchasing), Aravo (Vendor Database), Purchase Order management from creation to payment, and cross-charge allocation. Ability to work effectively with vendors and internal employees on procurement needs.
· Experience using AI-enabled productivity tools (e.g., Microsoft Copilot, ChatGPT) or the desire to learn.
· Ability to work 3-4 days per week out of our Ivorydale location in the St. Bernard area of Cincinnati.
