The Executive Assistant II position provides senior-level executive administrative support within the MDH Executive Office and serves as a trusted coordination partner to executive leadership. The role requires independent action, initiative, sensitivity to the consequences of decisions, and the ability to work effectively with leaders, staff, government partners, and external stakeholders.
Primary responsibilities include:
Coordinates high-priority work
Manages sensitive information
Ensures leadership activities move forward with strong preparation, follow-through, and sound judgment.
In accordance with HR/LR Policy #1422 Telework, this position is eligible for up to 50% telework for applicants who live in Minnesota or in a bordering state within 50 miles of the assigned work location. Candidates residing outside of Minnesota further than 50 miles of the assigned work location at the time of application must be able to relocate to Minnesota within 30 days of their start date. The telework policy may exempt employees who live more than 50 miles from their primary work location from the 50% in-office requirement, depending on job requirements, helping the State of Minnesota access top talent across the state.
This vacancy announcement will be used to fill up to two (2) Executive Assistant II positions.
Minimum Qualifications

Three (3) years advanced administrative support experience, including experience supporting senior leaders or executives and includes 3 of the following:
Managing complex scheduling, coordinating high-level meetings, and handling competing priorities with minimal supervision.
Drafting, editing, and finalizing executive correspondence, reports, briefing materials, or other polished business documents.
Serving as a liaison with multiple stakeholder groups and maintaining effective working relationships across organizational lines
Coordinating projects, workflows, or office processes.
Utilizing software, such as, Microsoft Outlook, Word, Teams to manage calendars, communications, records, and document production.
Qualifications to be further assessed during the interview process:
Attention to detail and the ability to communicate clearly, professionally and appropriately for a variety of audiences.
Communicate and interact with professionalism, diplomacy, and respect while building and maintaining effective working relationships with leaders, staff, and external partners
Experience handling sensitive, confidential, or politically sensitive information with discretion and sound judgment, and a high degree of professionalism.
Initiative, follow-up, and independent problem solving.
A related master's degree may substitute for eighteen (18) months of experience; bachelor's degree may substitute for twelve (12) months of experience; and associate's degree may substitute for six (6) months of experience.
Preferred Qualifications
Experience providing executive-level administrative support to a commissioner, executive leadership team, or senior public-sector officials.
Experience working in Minnesota state government or another government environment with legislative, policy, or public-facing responsibilities.
Experience preparing or coordinating executive office communications, briefing materials, legislative documents, presentations or other materials for senior leaders.
