Description We are looking for a bilingual Spanish Administrative Assistant to support daily office operations and help keep communication, scheduling, and documentation organized. This Long-term Contract position is ideal for someone who is detail-oriented, organized, and comfortable managing a range of administrative tasks in a fast-paced environment. The role will partner with staff and leadership to ensure meetings, records, and business documents are prepared accurately and handled efficiently.

Responsibilities:

Coordinate calendars for staff and board members, including meetings, appointments, and travel plans.

Organize meeting logistics and prepare supporting materials such as agendas, reports, and follow-up notes.

Record and distribute accurate meeting minutes to maintain clear documentation of discussions and action items.

Create and update presentations, spreadsheets, and other administrative documents as needed.

Maintain orderly paper and electronic records to support efficient document retrieval and compliance.

Manage filing activities, including e-filing and traditional paper-based recordkeeping.

Provide bilingual Spanish-English administrative support to facilitate clear communication with internal and external contacts. Requirements

Bilingual fluency in Spanish and English, with strong written and verbal communication skills.

Prior experience in an administrative support or office coordination role.

Ability to manage schedules, meetings, and multiple priorities with a high level of accuracy.

Proficiency in preparing documents, reports, spreadsheets, and presentation materials.

Experience with e-filing, document organization, and paper filing systems.

Strong attention to detail and the ability to maintain organized records and meeting documentation.
